Summary: We are seeking a dynamic and organized Executive Assistant to provide comprehensive support to our team in a fast-paced real estate investment firm. The ideal candidate will be adept at managing multiple priorities, possess exceptional communication skills, and demonstrate a high level of professionalism and discretion.
Responsibilities:
- Calendar Management: Coordinate and manage the calendar, including scheduling appointments, meetings, and closings.
- Communication: Serve as point of contact for internal and external communications, including phone calls, emails, correspondence and coordinating follow-up actions.
- Document Preparation: Assist in the preparation of presentations, reports, and other documents for meetings and closings.
- Data Management: Maintain accurate records, databases, and filing systems to ensure efficient retrieval of information.
- Client Relations: Liaise with clients, prospects, title company and lenders to schedule appointments, coordinate property viewings, and address inquiries.
- Office Management: Oversee office supplies, equipment maintenance, and general administrative tasks to ensure smooth operations.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
Qualifications:
- Proven experience as an executive assistant or similar role.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong interpersonal and communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Attention to detail and accuracy in all work tasks.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility to adapt to changing priorities and deadlines.
- Must have your own laptop and vehicle.
