POSITION: Front Office for a Facial Plastic Surgery Practice in Beverly Hills, CA
RESPONSIBLE TO: Practice Manager, with direct interaction with Medical Director and Nurse Injector
JOB SUMMARY: Seeking a collaborative and customer-service oriented professional to serve as a front office specialist and support our wellness and weight loss programs. The position will start as temporary for a 6-week project, with a very strong possibility of becoming full-time if there is a mutual fit.
Responsibilities include checking patients in and out, collecting payments, responding to leads, managing appointments, managing patient data with HIPAA compliance, and other activities to support our surgical, non-surgical, and weight loss / wellness offerings (including helping patients fill out wellness forms, performing weigh-ins, taking measurements, asking and answering relevent questions, and working closely with our NP).
Overview
We are looking for an upbeat and motivated team member who will manage patient interactions (phone calls, check-in, check-out, payments, etc.), utilize excellent customer service skills to schedule new and existing patients, collect and enter patient information into our electronic medical records, support practice administration, liase with our NP for our wellness / weight-loss programs, and overall support a world-class patient experience.

Qualifications
This individual must be highly motivated, customer-service oriented, and invested in the success of the business and his/her career. The ideal candidate will have well-developed problem-solving skills, communication abilities, and the ability to manage multiple priorities.
High school diploma is a minimum education requirement. Associates or Bachelor’s degree preferred. Bilingual Spanish/English is a must.
At least three years experience in a medical office, or med spa. The ability to quickly learn our phone system, patient communications system, practice management software, patient flow, and our procedures is required. Experience in Microsoft Office and the ability to quickly grasp new technology is required.
Specific Tasks
- Schedule appointments
- Enter patient leads into patient management system(s)
- Check-in and check-out patients (including collecting payment)
- Discuss services with patients
- Complete general administrative and front-office tasks
- Help to maintain a friendly, professional workplace environment
- Comply with state and federal regulations regarding the safeguarding of protected patient information (HIPAA)
- Conduct weigh-ins, take measurements, review their progress, and help patients have an excellent experience with our weight loss / wellness offerings
- Create relationships with patients and suggest complementary offerings so they acheive the best results possible
- Bring ideas on how to improve our programs and offerings, and how to best reach patients
- Work with office staff and our NP to communicate updates and coordinate patient care

The employee’s employment is maintained on an at-will basis in compliance with California employment regulations.
Working hours will be coordinated within the clinic office hours. The position will start as temporary, with the potential opportunity to become full-time based on mutual fit and interest.
OSHA guidelines in accordance with the clinic’s OSHA Handbook are to be followed. This position has extensive access to PHI. It requires access to computerized schedules and computerized or paper-based billing and reimbursement data, both of which contain a patient's clinical and financial information. It also may require the review of patient referral forms, lab results, tests, and encounter form data in the medical record in order to prepare patient information for the physicians and clinical staff. The individual in this position must maintain patient confidentiality by following the HIPAA Compliance Plan established by the practice.
