POSITION SUMMARY:
Our Veterinary Receptionists (Front Desk / Client Service Representatives) are the face of the company. They are an essential part of the veterinary team, offering a listening ear, a consoling word, and a helping hand to our clients and patients.
By phone, email, and in-person, Veterinary Receptionists answer client questions, schedule patient visits, and help to relay messages. Veterinary Receptionists direct clients, patients, vendors, and other visitors to the correct location or exam room, while also notifying the veterinarians and other personnel of their arrival. Veterinary Receptionists also assist in handling or walking animals.
In short, our Veterinary Receptionists play a key role in ensuring clients and patients are received and responded to with friendliness, professionalism, and in an orderly fashion.
Our veterinary hospital is a fun and welcoming environment - but like any veterinary facility, it can be a very busy place! Excellent organization and time/priority management are therefore essential, as is a strong sense of teamwork, strong verbal and written communication skills with clients and co-workers, and empathetic listening.
ESSENTIAL DUTIES & RESPONSIBILITIES:

Greeting visitors and directing them (and their pets) to the appropriate exam room or location, while also notifying veterinarians or other personnel of their arrival.

Informing the veterinarians of any emergencies requiring urgent attention.

Receiving payment and/or issuing invoices for treatment and prescribed medications after each consultation.

Answering, assisting, and directing all incoming telephone calls to the appropriate parties in a professional and friendly manner.

Scheduling upcoming patient visits and reminding clients of upcoming visits.

Using veterinary practice management software to create and update patient records.

Using applicable software programs (e.g., practice management software, Microsoft Windows, Microsoft Word, web browsers, email software) to create, email, upload, and sort files and electronic documents.

Secure handling of confidential information.

Clerical work such as typing, filing, shredding, and sorting paper or mail.

Maintaining an orderly lobby and front desk area.

Providing administrative support, when needed or assigned.

Occasionally managing and ordering office supplies.

Performing other duties, as assigned.
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, & ABILITIES):

Bachelor's degree preferred, or equivalent combination of education, training, and experience.

High school diploma or equivalent required.

Must be comfortable with small business software in a PC/Microsoft Windows environment, with demonstrated proficiency using Microsoft Office, web browsers, email software, uploading/downloading documents, and cloud-based software (e.g., Google Workplace, Microsoft 365, or similar services).

Fast and accurate typing skills.

Excellent customer service skills, with a personable and empathetic disposition.

Very organized, with excellent time and priority management skills.

Demonstrated attention to detail.

Ability to write routine reports and correspondence; ability to read and interpret documents such as work instructions and software manuals, etc.

Ability to maintain confidentiality.

About Campeche Cove All Animal Hospital:
Campeche Cove All Animal Hospital (CCAAH) is located in the beautiful island-city of Galveston, easily accessible to all parts of the island and other cities throughout Galveston County, plus a simple 45-minute drive to the bustling metropolis of Houston! Our home-like facility has a beautiful outdoor deck that faces protected wetlands full of birds and wildlife. Just on the other side of the wetlands is the ocean, which is an easy 5-minute drive away! We don't work overnight hours, and our facility houses radiography, dental radiography, cautery, and ultrasound equipment, as well as a high-speed dental unit and a well-equipped lab for blood, urine, and fecal analysis. We are locally-owned, with firmly established roots in the community. While the majority of our patients are companion animals (dogs and cats), we also see birds, exotic pets, and even occasional farm animals.
