Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will provide support to our office staff and assist in daily administrative tasks. The ideal candidate will have excellent communication skills, be proficient in office software applications, and possess a strong attention to detail.
QUALIFICATIONS:
- High school diploma or equivalent
- Ability to maintain effective, respectful, interpersonal relationships with staff, families and volunteers
- Effective computer skills with ability to learn new programs
- Ability to follow directions
5. Experience with Microsoft Office Suite and other web-based applications
- Effective office organizational skills
- Effective phone skills
- Effective respectful and culturally sensitive communication skills
- Bilingual
DESIRABLE:
1. Typing certificate of 40 wpm
2. Experience in working with young children
3. Experience with families with children with special needs
4. Experience with Adobe Acrobat
5. Comfort multitasking and handling multiple requests from different individuals
and departments
JOB DUTIES AND RESPONSIBILITIES:
1. Work respectfully with staff, families partner agencies and the public.
- Provide appropriate reception for parents and visitors.
- Compiles information and prepares and maintains a variety of records and reports related to assigned activities.
- Communicates with personnel and various outside agencies to exchange information, requests, and provide materials, coordinate activities and resolve issues or concerns.
- Inputs a variety of information into an assigned system; assures accuracy of input and output data.
- Maintains confidentiality of sensitive and personal information in accordance with HIPAA and FERPA regulations.
- Clerical support for grants and contracts, including copying, sorting, scanning and filing charts and documents.
- Participate in team meetings, staffing of children and trainings as appropriate.
- Scheduling evaluation appointments.
- Edit and proof documents.
- Other duties as requested.
Work Hours: This position requires a fulltime staff member. Hours as needed for the program. Some travel may be required.
