Regional Delivery Responsibilities:
- Ensure that all drivers act in a safe, courteous, and professional manner.
- Cultivate, grow, and maintain an effective team.
- Ensure a consistent and prioritized departmental recruitment and retention plan in accordance with company policies and initiatives.
- Work with Drivers to ensure enough hours Hour of Service (HOS) are available for loading and proper securement in preparation for delivery.
- Assign Drivers, to include H2A Drivers, to routes daily based on Hours of Service and other variables that impact availability.
- Manage and trouble shoot delivery concerns such as on-time deliveries, rejected material, breakdown etc. and mitigate issues that may impact the Customer or Production (Farm).
- Monitor Driver time daily and ensure punches align with planned hours and HOS logs and review for payroll Monday. Notate explanations on 2024 Hours Review worksheet for any Driver above 20% of timecard vs. planned/actual time.
- Ensure proper entry of bi-weekly Driver payroll addressing concerns/issues with Transportation Manager as they arise.
- Conduct/provide support with address validation/customer communication on delivery for the next day and confirm delivery details.
- Consistently stay in contact with Farm Management/Harvest with regard to available freight: grass quantity, availability, and location for all loads.
- Manage recruitment, hiring, onboarding (act as designated authorized representative for in-person I-9 verification), training, performance, corrective action, and termination processes for all Drivers in the assigned location(s). Coach drivers for success (referencing necessary reports).
- Report promptly any delays that will affect delivery appointments to the appropriate departments and manage route recovery as needed.
- Evaluate On Time Deliveries daily, recorded as On Time or Late. If late, research if the Driver was at fault and follow the established corrective action process with regard to On Time Parameters.
- Manage all aspects of Driver scheduling to include PTO and other scheduled time off (to include number of Drivers who can be out concurrently). Referencing the Capacity Resource Report before approving time off to ensure proper coverage.
- Maintain Driver Saturday rotation schedule assignments, including confirmations, and communicate any changes to Logistics.
- Manage the loading and unloading process addressing concerns/issues with Transportation Manager as they arise.
- Manage Load Sheet List daily and coach or take necessary corrective action if incomplete.
- Ensure all Drivers have and wear following the company PPE chart the appropriate Hi-Viz apparel (vest for probationary drivers) and other personal protective equipment (PPE), and it is maintained in a serviceable condition. Order needed items as necessary.
- Ensure all new Drivers receive the appropriate training and monitor their progress (per SodStar training guidelines).
- Support Top Gun Trainers and monitor their adherence to company training standards.
- Conduct ride-a-longs with drivers (to include Top Gun Trainers) to ensure professional driver standards and company requirements are maintained.
- Conduct a bi-weekly physical count and condition evaluation (to include cleanliness) of all delivery assets and provide recommendations to upper management.
- Conduct Regional travel within assigned location(s) to meet with drivers, monitor equipment, follow up where applicable, doing so on both a scheduled, and as needed basis.
- Travel outside of the assigned area (if needed) to support other Driver Managers/locations, provide, and attend training (overnight travel may be required).
- Ensure truck parking areas for delivery equipment is clean, secure, and accessible.
- Ensure location scales are in good operational condition (calibrated, supported, and secured to the pad).
- Provide professional interaction with internal and external customers.
- Maintain costs and profits within the budget and identify cost savings where appropriate. Identify and address inefficient processes/procedures or operational deficiencies.
- Escalate key activities/initiatives outside of budget parameters to upper management.
- In conjunction with the Safety Department, conduct investigations to determine the root cause for any incidents within your responsibility. Analyze, follow-up, closure of action items, and retraining for all personnel involved in property damage, incidents, or accidents involving delivery vehicles or equipment.
- In conjunction with the Safety Department, review drive cam footage of Drivers in the assigned location biweekly (minimum) and conduct appropriate coaching.
- In conjunction with appropriate departments, ensure delivery equipment complies with the local, state, and Federal Motor Carrier Safety Regulations (FMCSA) and DOT guidelines, and maintain vehicle records per company standards.
- In conjunction with appropriate departments, ensure truck/trailer has a complete truck manual, a current registration, insurance card, IFTA sticker, and nursery and fire ant certification.
- In conjunction with appropriate departments, ensure and Maintain Electronic log compliance.
- Maintain the Driver Safety and Information board in the assigned location, and update it as needed.
- Schedule/manage /coordinate (with outside vendors if needed) any necessary repairs and preventative maintenance needed. Coordinate and schedule preventive maintenance every 30 days for BSU and SST trucks, trailers and forklifts and inform other departments of the schedule as necessary.
- Manage and maintain all correlating documentation and accurately record preventative maintenance services for leased trucks, piggyback and trailers on maintenance tracking spreadsheet.
- Ensure all long-term trucks have 3 sets of keys (1 to the driver, 1 under the hood, 1 locked in the office).
- Monitor the quality of delivery pictures and coach and counsel when necessary.
- Maintain the equipment tracking sheet, ensuring all trucks, trailers, and lift locations and statuses are up to date. Communicate any equipment moves with the Transportation Administrator.
Regional Delivery Requirements:
- Comprehensive knowledge of FMCSA and DOT regulations.
- Comprehensive understanding of using Electronic Logging Devices (ELD's), Paper Logs, Global Positioning Systems (GPS), and Drive Cam Systems.
- Valid Class A CDL and Medical DOT Certificate preferred.
- 3+ years' experience working in the transportation/fleet management field preferred.
- Must demonstrate the ability to be a team player and build positive working relationships with others.
- Ability to discern what issues need to be brought to upper management.
- Ability to be reached after hours for accidents, incidents, attendance, and other operational situations.
- Ability to communicate effectively and keep records.
- Ability to be physically/consistently present for critical onsite collaboration.
- Strong organizational and communication skills.
- Ability to manage in a flexible, quickly changing environment.
- Ability and willingness to operate a forklift as needed.
- Strong Microsoft product computer skills, specifically Excel.
- Willingness to learn, grow, and to apply direction provided.
- Must be able to work independently.
- Willing and able to work in the elements as needed.
- Ability to work flexible hours to include, but not limited to, early AM/PM, nights and weekends, and hours that could fluctuate day-to-day.
- Travel as needed/approximately 50% of the time.
