Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, greeting guests and visitors, mail distribution, flow of correspondence, requisition of supplies, making and trouble-shooting travel arrangements as well as additional clerical duties.
Responsibilities
- Greet guests and visitors with upbeat and positive demeanor

Issue and track guest badges to the facility

Liaise with building safety and security

Answer phone calls and direct calls to appropriate individuals

Plan, schedule, and reserve office meeting space
- Ordering supplies for office and meetings as appropriate

Organize periodical small internal and external events (venue, catering, entertainment, transportation) Liaise with building manager / vendors to communicate internal or external needs or issues.

Liaise with external travel agent to arrange travel and troubleshoot travel issues

Train new hires on travel and expense systems

Accepting and distributing mail and UPS packages

Maintain break room and meeting spaces as necessary

Order consumable supplies for office, break room and lab in Chicago Innovation Center and track inventory

Assist lab equipment maintenance scheduling.

Other clerical administrative duties as assigned
Qualifications

High school diploma required, Associates degree preferred

1-6 months of previous receptionist experience preferred

Strong written and oral communication skills

Proactivity and solution oriented mindset

Familiarity with Microsoft Office Suite required.

Exposure to Concur system preferred but not required
-
Ability to lift, bend, stoop, and carry 25lbs required
Status: Full Time, Monday - Friday
