Job descriptions:
We are seeking a highly organized and detail-oriented Facilities Management Administrative Assistant to join our team. In this role, you will provide critical support to the Project Manager (P.M.) by handling a variety of administrative tasks related to contract management, financial operations, human resources, and customer service.
Responsibilities:
- Assist the P.M. with the preparation and processing of contract deliverables, ensuring accuracy and adherence to deadlines.
- Consolidate and organize monthly reports related to contract performance.
- Process employee timesheets and generate payroll summaries for accuracy and timely submission.
- Facilitate accounts payable transmittals and invoicing in accordance with company procedures.
- Manage other administrative tasks related to accounts payable and financial processes.
- Coordinate with the SDAC Human Resources (HR) Director on administrative tasks as needed.
- Provide support with employee onboarding, leave requests, and other HR-related functions.
- Possess proficiency and training in NCMMS (Facility Maintenance Software) activities.
- Serve as a backup to the Property Control Coordinator (PCC) to cover the Customer Service Desk, responding to tenant inquiries and work order requests.
- Provide general administrative support to the P.M., including scheduling appointments, managing calendars, and preparing presentations.
- Maintain accurate and organized filing systems (physical and electronic).
- Compose and distribute meeting agendas and minutes.
- Handle other administrative tasks as assigned.
Qualifications:
- Minimum 2 years of experience in a fast-paced administrative or facilities management environment.
- Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
- Excellent attention to detail and accuracy in data entry and record keeping.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- NCMMS (or similar facility management software) experience is a plus.
- Experience with basic accounting principles and payroll processing is preferred.
- Strong communication, interpersonal, and customer service skills.
- Ability to work independently and as part of a team.
