Position Overview:
As a Business Administrative Assistant, you will be the first point of contact for our patients, creating a welcoming and professional atmosphere. Your role is crucial in managing patient interactions, appointments, and administrative tasks. The ideal candidate will have prior experience in a dental office, exceptional communication skills and grammar, with polished and professional appearance and a passion for providing top-tier customer service.
Key Responsibilities:
- Greet and welcome patients in a warm and friendly manner.
- Manage patient check-in and check-out processes efficiently.
- Schedule next visits, ensuring optimal use of the practice’s schedule.
- Answer and manage incoming calls, addressing patient inquiries and directing calls to appropriate staff members and write detailed notes on phone calls .
- Maintain patient records and ensure all information is accurate and up to date including, patient forms, insurance and pharmacy information, etc.
- Handle billing, insurance verification processes, collect patient fees and have treatment plans signed and scanned
- Coordinate with dental staff to ensure seamless patient flow and communication.
- Assist with general administrative duties, including filing, scanning, and office organization.
- Uphold the practice’s standards for cleanliness and presentation of the reception area.
Qualifications:
- Previous experience working in an upscale dental office or similar medical environment is required.
- Exceptional customer service skills with a patient-focused attitude.
- Strong organizational and multitasking abilities.
- Proficient in dental practice management software (e.g., Dentrix, Eaglesoft) and basic office software (e.g., Microsoft Office).
- Excellent verbal and written communication skills.
- High level of professionalism and attention to detail.
- Ability to work effectively in a team-oriented environment.
