Established in 2007, Women for a Healthy Environment (WHE) is a 501(c)3 nonprofit agency dedicated to educating communities about environmental risks to human health, providing action steps to mitigate those risks, and advocating for solutions to better protect the region. WHE serves parents, students, children, school and early learning personnel, as well as health and community-based organizations, with an emphasis on those living in underserved communities. POSITION OVERVIEW:
WHE is seeking a dynamic and highly organized Operations Director to provide critical support to the Executive Director (ED) and ensure smooth operations across various functions of the organization. The Operations Director will oversee administrative tasks, financial management, human resources, IT systems administration, and project management under the guidance of the ED.
PRIMARY RESPONSIBILITIES:
Administrative Support:
● Schedule appointments, manage calendars, and compile documents for meetings.
● Conduct research and prepare background materials for internal and external meetings.
● Manage task lists and follow-up on requests internally and externally.
● Screen email messages, respond as needed, and route messages to the appropriate party.
● Execute administrative duties such as document formatting, filing, typing, and copying.
● Generate reports, transcribe meeting minutes, and conduct research as required.
● Complete other duties as assigned by the ED.
Financial Management:
● Liaise with outsourced finance contractor and oversee banking transactions and recordkeeping.
● Prepare reconciliations of bills, bank statements, corporate credit accounts, and manage petty cash.
● Support organizational annual audit and ensure accurate processing of gift acknowledgments.
● Assist in financial reporting and budget management as needed.
Human Resources Management:
● Maintain accurate benefit accrual information and support new hires with benefit administration.
● Coordinate onboarding processes and assist in developing operational policies and procedures.
● Transmit semi-monthly payroll reporting and serve as liaison to outsourced human resource contractor.
● Help promote an organizational culture that encourages top performance and high morale.
IT Systems Administration:
● Serve as liaison to outsourced technology contractor and troubleshoot technology issues.
● Manage asset inventory for the organization and recommend best practice procedures.
● Document and follow internal processes and practices related to technology usage.
Project Management and Organizational Support:
● Support the ED in Board of Directors management and operations.
● Manage organization’s accreditation and membership with relevant associations.
● Oversee general office operations including correspondence, supply management, and contract administration.
● Coordinate scheduling, logistics, and materials for internal and external meetings.
● Support annual insurance renewals and submission of quarterly lobbying expense reports to the state.
● Hire and supervise interns and volunteers as needed.
QUALIFICATIONS:
● Bachelor’s degree preferred.
● 3-5 years of related experience in administrative or operations management.
● Experience with financial management, human resources administration, and IT systems.
● Proficiency in MS Office programs and Google Apps.
● Excellent organizational, problem-solving, and time management skills.
● Strong interpersonal and communication skills with the ability to work effectively in a team.
● Discretion, integrity, and dedication to the mission of Women for a Healthy Environment.
● Ability to obtain and maintain required State and Federal clearances.
● Valid driver’s license and ability to travel when necessary.
