Highly Proficient Business/Office Manager
for Commercial Electrical Contractor
We are a growing, Sarasota-based commercial electrical contractor in need of a bright, highly organized and proficient person to help keep things on track while our owner/president tends to field operations and winning new projects.
As a master electrician, our owner/president has operated a successful business with an excellent industry reputation since 1978. Our ideal candidate has at least 3 to 5 years of business/office administration experience in the commercial construction trade. As a result, you have accumulated the skills needed to professionally and proficiently oversee all aspects of our front office (familiarization with QuickBooks Online is a plus).

Key Responsibilities
- Assist owner/president and project managers adhere to budgets, create project schedules, maintain project updates, track materials, and coordinate appointments.
- Constantly communicate with owner/president regarding “state of the business,” any business/financial issues, appointments, phone messages, and all pressing matters.
- Direct vendor and supplier processes by assembling bid packages, including scope of work, formal project bid documents, and necessary construction documents.
- Maintain accurate work logs of project activities, job information sheets, and field tech timesheets.
- Oversee project contract administration and submittal log processes to ensure that the contract document requirements are met throughout the project.
- Secure licenses, permits and NTO’s.
- Enforce quality control process measures that ensure compliance with contracts, building and code regulations.
- Perform payroll and billing tasks - prepare invoices, subcontracts, change orders, work orders, purchase orders, and punch lists.
- Prepare progress invoices in a highly accurate and timely manner.
- Manage the billing/cash collections process in accordance with the Company’s cash collection policies.
- Assist with sourcing and receipt of project materials; validate receipt and/or return of materials.
- Assemble the closeout package including maintenance agreements, equipment information, warranties, and contractor contact information.
- Prepare weekly report of the status of open bids; follow-up with General Contractors/Project Managers re awarding of open bids.
- Capture information supporting the preparation of financial reports to ensure timeline, costs, cash flow, and budget of projects are accurately forecasted.
- Process invoices, checks, and payroll accurately and on time and resolve any invoice issues.
- Manage process of on-boarding new employees and maintain employee records.
- Maintain excellent working relationships with customers, vendors, external accounting, and others supporting our Company.
- Possess a thorough and broad knowledge of Microsoft Office Suite, in particular Word and Excel
- Exhibit polite and helpful manner in all communications, especially on the telephone.

Pay: $50,000.00 - $70,000.00 per year
