ABOUT THE JOB
The Tepa Companies are seeking a Project Administrative Assistant (PAA) to provide project support to project management and field teams for our Industrial Services Division. The PAA creates and maintains project files, tracks subcontractor paperwork (including but not limited to: subcontracts, insurance, payroll, pay applications), and communicates with field and office staff regarding subcontractor employee hours and labor classifications.
Responsibilities include:

Creating & maintaining project specific wage rate sheets for field personnel

Preparing and submitting field staff time sheets

Process incoming invoices and pay applications

Preparing and submitting client billing
-
Preparation of project closeout reports
-
Preparation of subcontracts
-
Preparation of DBIA agreements
-
Preparation of purchase orders
-
Preparation of professional service orders
-
Preparation of vendor/subcontractor change orders
-
Preparation and submission of base access requests
-
Scheduling delivery & pick-up of on-site rental equipment
-
Coordinating travel arrangements
-
Coordinating international shipping
-
Coordinating international flights
-
Responds to field staff questions
-
Ensures accounting has necessary contract documents for project maintenance and payments
-
Tracks and submits expense reports for management and field teams
-
Reports status and updates verbally and in written form to management
-
Coordinates efforts within the team and with outside vendors efficiently
-
Conducts general clerical duties as required (typing, filing, meetings, etc.). Prepare memos, forms, and letters as needed

Files electronic and hard copy documents

Submits and tracks business licenses
WHAT WE’RE LOOKING FOR

High school or General Education Diploma
-
3 years of project support/office experience
-
Intermediate proficiency in Microsoft Word, Excel and Outlook

Intermediate proficiency in organization and prioritization
-
Intermediate proficiency in oral and written communication
