Primary Function
The Administrative Assistant provides assistance and support to the superintendent of schools and school board to assure the effective and efficient operation of the district. The Administrative Assistant is responsible for the processing and maintenance of confidential and non-confidential correspondence of the superintendent.
Starting July 1st the pay range will change to $17.46 - $21.05 per hour
Desired Qualifications
· Bachelor's degree\Minimum High School Diploma
· Five years’ experience
· Excellent organizational and prioritization skills.
· Experience managing multiple complex projects simultaneously.
· Ability to work collaboratively as part of a team and independently.
· Excellent oral and written communication skills.
· Excellent Excel user
· Excellent in using student information management systems, i.e. powerschool
Performance responsibilities
· Assist with the receptionist to the Pre-School and Kindergarten
· Place and receive telephone calls, and records messages.
· Welcomes visitors and assists in monitoring entrance to classrooms and offices.
· Maintain a positive attitude and style that contributes to the overall public relations of the district.
· Maintain substitute teaching program which includes certifications, personnel documentation and list of substitute teachers to distribute to the school’s secretaries.
· Maintain and monitor current license file for certified personnel.
· Maintain filing system for district correspondence and records.
· Post employment openings, process application materials and assist with new employee documentation and orientation.
· Maintain fingerprinting to the Colorado Department of Investigation and Federal Department of Investigation.
· Complete all state and federal data submissions, including all interchanges, snapshots, year-round and periodic collections. Which include:
o Student October Count
o End of Year (which includes the Graduation Guidelines)
o Attendance
o Teacher Student Data Link
o Directory
o March Report Card
o School Discipline
o Special Education Discipline
o All Interchanges
o Civil Rights Data Collection A(CRDC)
o All Audits of state reports
· Prepare individual contracts for licensed personnel/teachers.
· Assist with employee documentation of personnel files (i.e.,W-4, I9, PERA)
· As secretary to the board of education, assist with the preparation of the meeting agenda.
· Post meeting agendas where designated.
· Prepare board room for meetings and attend board meetings.
· Record and transcribe minutes of board meetings and post them on the web site.
· Handle all aspects of the board election including notices, ordering materials, etc.
· Act as Designated Election Officer if voted to do so.
· Assist the superintendent with District Accountability Committee (DAC) meetings.
· Prepare Purchase orders and submit to finance department.
· Complete and post on the school website the annual “Back to School Newsletter”.
· Plan and organize staff Back to School BBQ and Staff Recognition Luncheon.
· Attend all assigned team meetings.
· Preform other duties as directed by the superintendent.

Pay: $16.61 - $20.03 per hour
