Job Summary
We are seeking a Personal Assistant to provide vital information management support and represent our CEO both internally and externally. This role demands a proactive approach in an entrepreneurial environment, the ability to work independently on multiple projects, and manage pressures effectively. Success in this role is defined by a results-oriented mindset and the capacity to manage daily workflows efficiently.
Essential Duties and Responsibilities
- Administrative Support: Manage the CEO's appointment schedule, coordinate meetings, maintain calendars, and handle all aspects of administrative support including correspondence, phone calls, and filing.
- Information Management: Support the CEO by producing, managing, and maintaining the flow of information and documents.
- Travel Coordination: Arrange all aspects of travel for the CEO, including itineraries and agendas, and be prepared to travel as needed.
- Confidentiality: Uphold strict confidentiality standards to protect operations and sensitive information.
- Representation: Act on behalf of the CEO in meetings and external engagements in their absence.
- Project Management: Oversee and complete projects by delegating tasks to clerical staff and monitoring outcomes.
- Event Coordination: Manage logistics for events and facility visits as requiredQualifications for Personal Assistant
- Educational Background: High school diploma preferred.
Qualifications for Personal Assistant
- Experience: Previous experience as an Executive Assistant is advantageous but not mandatory. Experience with social media platforms is required, demonstrating the ability to engage effectively with online communities and stakeholders.
- Communication Skills: Exceptional ability to communicate clearly and effectively, both verbally and in writing, with internal and external stakeholders.
- Administrative Skills: High proficiency in managing expenses and coordinating travel arrangements.
- Interpersonal Skills: Strong interpersonal skills are essential, with an emphasis on flexibility and patience.
- Independence: Capable of working independently with minimal oversight, adept at prioritizing multiple tasks and projects.
- Confidentiality: Must have the ability to handle sensitive information with utmost discretion.
- Physical Requirements: Ability to occasionally lift, pull, and carry items weighing up to 50 lbs.
