Overview:
We are seeking an experienced and highly organized Office Manager to join our team. As the Office Manager, you will be responsible for overseeing the day-to-day operations of our office and ensuring its smooth functioning. This is a key role that requires excellent organizational skills, strong attention to detail, and the ability to effectively manage a team.
Duties:
- Front desk management: Greet visitors, answer phone calls, and respond to inquiries in a professional and friendly manner.
- Clerical tasks: Perform general administrative duties such as filing, data entry, and document management.
- Phone etiquette: Handle incoming and outgoing calls with professionalism and provide accurate information or direct calls to the appropriate person.
- Training and development: Assist in training new employees on office procedures and policies.
- Organizational skills: Maintain office supplies inventory, order new supplies as needed, and ensure the office is well-stocked and organized.
- Vendor management: Coordinate with vendors for office maintenance, repairs, and supplies procurement.
- Payroll administration: Assist with payroll processing and ensure accurate recordkeeping.
- Calendar management: Manage executive calendars, schedule appointments, and coordinate meetings.
- Schedule management: Coordinate employee schedules, including vacation requests and time-off approvals.
- Team management: Supervise administrative staff, delegate tasks, provide guidance, and foster a positive work environment.
Skills:
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint).
- Attention to detail with a high level of accuracy in data entry and recordkeeping.
- Ability to handle confidential information with discretion.
- Problem-solving skills with the ability to find solutions independently.
- Strong interpersonal skills with the ability to work well in a team environment.
