As an Operations Specialist, you are essential in helping us serve our nonprofit clients throughout the year and oversee critical operational functions for our firm. This role will report directly to the CEO, be a part of the firm’s client success team, and interact heavily with our team and c-suite-level external leaders.
You will be fully responsible and accountable for keeping the firm’s operations running smoothly. You will be part of the client success team, assisting with workflows creation, project management, and communication about finances with clients.

SCOPE OF WORK
- Responsible for the day-to-day management of our team calendar, including providing briefs/updates on upcoming meetings and ongoing obligations and identifying and prioritizing items for attention to ensure high-value time utilization of the CEO related to external and internal demands.
- Coordinate meetings and appointments for internal teams and external stakeholders across time zones.
- Email management with proactive alerts to the accounting team.
- Collaborate with management in recruiting and vetting new hires
- Manage the sales and customer follow-up process
- Create and send out proposals and engagement letters to prospects and clients.
- Assist with onboarding new clients, including doing follow-up emails and setting up projects and cloud storage folders.
- Organize materials for client discovery sessions and send follow-up emails afterward.
- Work with Goshen’s management to update Goshen’s CRM systems.
- Participate in social media groups and roundtables to find new opportunities and nourish relationships to bring in new clients.
- Research and purchase gifts for clients and partners.
- Make travel arrangements for staff retreats or CEO’s travel.
- Attend management and team meetings.
- Provide other administrative support to the firm as needed.
- Oversee the work of the accounting assistant and handle client document management.
- Update and manage the firm’s expenses on Divvy, Ramp and QuickBooks Online
- Support the accounting team with clients' grant management process and events tracking

Skills and Qualifications
- An associate or Bachelor's degree in business administration, operations management or a related field
- 2-5 years of relevant operations experience working with multiple clients
- Proficiency in QuickBooks Online, Asana, Divvy, Ramp, and Google Workspace
- Strong communication (verbal and written)
- Problem-solving and critical thinking
- Leadership and team management experience
- Project management and financial reporting experience
Job Types: Full-time, Part-time
Pay: $27.00 - $30.00 per hour
