Position: Dental Receptionist

Responsibilities:
- Greet and welcome patients and visitors to the practice.
- Register new patients according to established office protocols.
- Assist patients in completing all necessary forms and documentation.
- Verify and update patient information accurately.
- Inform patients of dental office procedures and policies.
- Move patients through appointments as scheduled.
- Enter all relevant patient information into the data system accurately.
- Maintain and manage patient records in compliance with privacy and security regulations.
- Oversee patient relations and handle patient complaints under office manager supervision.
- Answer and manage incoming calls with professionalism.
- Respond to all voicemails and deliver messages to the appropriate recipient in a timely manner.
- Answer and manage incoming emails with professionalism.
- Respond and comply with requests for information.
- Document conversations occurring on the phone or via email in CommLog in Open Dental.
- Schedule patient appointments according to office protocol.
- Screen and manage requests for emergency examinations according to office protocol.
- Confirm upcoming appointments and recalls according to office protocol.
- Check the daily appointment schedule and ensure each clinical day is appropriately scheduled.
- Fill in cancellations and no-show appointments using the ASAP list.
- Organize referrals to other medical specialists.
- Dispatch and receive lab work appropriately.
- Collect and receipt payments from patients at the time of treatment.
- Maintain petty cash.
- Inform patients of financial treatment plan options.
- Update insurance information at all times.
- Verify patients’ insurance plans are active and that the treatment to be completed is covered. If not covered, discuss out-of-pocket fees with parents for treatment and inform back-office staff.
- Arrange payment schedules with patients.
- Prepare and mail billing statements.
- Prepare claim forms for dental insurance.
- Arrange supporting documents for insurance claims.
- Sort and distribute incoming and outgoing post.
- Monitor and maintain inventory of office supplies.
- Update and stock patient education materials.
- Maintain a clean and professional reception area.
- Safeguard patient privacy and confidentiality.
