We are seeking a highly organized and detail-oriented Remote Company Administrator to join our team. In this part-time role, you will play a crucial part in ensuring the smooth operation of our home improvement company by managing inventory, handling billing and accounting tasks, following up with customers, and providing general administrative support. The ideal candidate will be able to work independently, have excellent communication skills, and be proficient in relevant software applications, including QuickBooks, Salesforce, and project management software…or demonstrates willingness to learn.
Responsibilities:
- Billing, Accounting & Reporting:
- Prepare and process invoices.
- Track and record payments.
- Reconcile accounts and prepare financial reports.
- Manage accounts payable and receivable.
- Generate monthly financial statements and reports for management review.
- Assist with basic bookkeeping tasks.
- Customer Follow-Up:
- Respond to customer inquiries via phone and email.
- Follow up on customer orders and requests.
- Address customer concerns and resolve issues in a timely manner.
- Inventory Management:
- Track and maintain accurate inventory records.
- Process inventory orders and updates.
- Communicate with suppliers regarding inventory levels and orders.
- Assist in resolving inventory discrepancies.
- General Administrative Support:
- Manage and organize company documents and files.
- Schedule appointments and meetings.
- Perform data entry and other clerical tasks as needed.
Qualifications:
- Associate or Bachelors degree with minimum 3 years of experience.
- Proven experience in accounting, government licensing office, paralegal, administrative support or related field.
- Excellent computer skills, including proficiency in Accounting Software (Quickbooks, Wave), Project Management Software, Microsoft Office Suite (Word, Excel, Outlook), or similar software.
- Excellent organizational, time-management, and multitasking skills.
- Strong attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
Schedule:
- Part-time: 4 days per week (specific days can be negotiated)
- Afternoons: 1:00 PM - 5:00 PM
