The Department of Surgery at Mount Sinai Hospital is seeking someone who will be responsible for working with ACGME and non-ACGME fellows and medical students in the health system. This position reports to and works with Residency Program Manager on a daily basis.
Duties & Responsibilities
- Maintain web-based assignment schedule in New Innovations ensuring its accuracy throughout the year.
- Log and track fellow’s procedures done by fellows during their training in New Innovations and facilitate credentialing by Program Director.
- Coordinate, facilitate and distribute the timely submission of the monthly resident/fellow rotation/call schedules.
- Process application paperwork for new fellows for presentation to Medical Staff office
- Maintaining application material sent from program applicants; assist in the coordination and recruitment of fellows including preparation of interview-day materials.
- Maintain and coordinate the distribution of sign-in sheets maintaining resident attendance records for all conferences, lectures series and Grand Rounds. In addition, transfer the data weekly into New Innovations’ conference module thereby promoting electronic monitoring.
- Maintain and assign pagers to all current and incoming residents.
- Facilitate and organize catering for fellow interviews and all education events.
- Answer phones and provide general secretarial responsibilities including but not limited to: phone answering, photocopying, scanning, filing, ordering office supplies, scheduling appointments, checking voice mail daily, etc.
- Maintain electronic alumni personnel-file database for graduates of the fellowship program.
- Provides secretarial support including word processing and typing, composing and proofreading correspondence indexing and filing documents.
- Answers inquiries and takes concise phone messages. Refers callers/visitors to appropriate individuals.
- Gathers information and develops summaries as requested. Compiles reports from database and existing records.
- Opens, sorts, distributes, and answers incoming mail.
- Assists with development and implementation of budget and operational plans.
- Develops and implements office procedures related to coordination of interoffice communication, records, and systems.
- Ensures adequacy of office supplies and equipment.
- Schedules/coordinates meetings, appointments. Makes travel arrangements.
- Assists other staff as requested.
- Attends meetings as assigned and reports on actions.
- Participates in educational activities and programs.
- Maintains strictest confidentiality
Minimum Education
Associate degree in business administration or secretarial program. Bachelor degree preferred.
Minimum Related Experience
Minimum of two years of healthcare experience including one-year of GME experience preferred.

Pay: $60,000.00 - $70,000.00 per year
