The Property Manager’s primary objective is to manage a portfolio of rental properties, delivering exceptional customer service to our clients and tenants. The measurable results of success are high retention rates and minimal complaints by residents and clients.
[Job Description & Details]
The Property Manager is the primary contact for all landlords and oversees the operations of their assigned portfolio. The property manager shall always represent Keyrenter Austin as “Austin’s premier property management firm” and themselves as one of Austin’s “premier property managers.” In this position, one must be able to relate to all types of people, have critical thinking and decision-making skills, and use diplomacy to diffuse and solve any situation that arises. The Property Manager will direct an established system for managing properties according to governing documents and agencies, Keyrenter processes and policies, exemplifying the highest ethical standards.
[Detailed Responsibilities & Requirements]
● This is a full time position and hours are Monday-Friday, 8.30am-5pm. This is an in-office role.
● New Client Onboarding
- Integrate new properties into our systems within one business day.
- Keep new clients informed and confident in our ability to manage their property.
● Lease & Property Management Agreement Administration
- Coordinate tenant move-in/move out process
- Effectively collect rent each month, maintaining a delinquency rate of less than 3% of total rents due.
- Enforce all lease terms, utilizing proper notices, fees, and communications.
- Negotiate lease renewals with residents.
- Properly document all owner transactions, producing accurate monthly statements
- Maintain an exceptional quality of communication with Clients in which our agency as PM is properly utilized, minimizing their effort in owning the property
- Proactively manage tenant turn-overs, prioritizing client communications, managing expectations, properly managing owner expenses and utilizing the tenant security deposit in accordance with the lease agreement.
● Resident Relations
- Communicate with tenants regarding all lease term enforcement, utilizing proper notices, fees with a very high level of customer service.
- Manage ongoing maintenance utilizing vendors to solve resident problems while minimizing owner expenses
● Vendor Management
- Coordinate make-ready projects, preparing properties for marketing and occupancy while working within established budgets.
- Appropriately investigate maintenance issues to determine appropriate vendor(s) to resolve property condition issues.
● Contributing to company growth
- Assist in refining internal processes for greater consistency and application
- Actively participate in developing new, creative solutions for our clients.
- The PM may be asked to help with different aspects of the business as needed for the greater good of the team and company.
● Accountability
- This position is a non-supervisory position. The employee will perform all necessary tasks for an appropriately sized portfolio.
- The PM will be supervised by the COO and accountable for reaching established performance metrics including lease renewal rates, client satisfaction/retention, rent collection, proactive client contact, tenant relations and maintenance work order resolution..
- This role will receive day-to-day mentoring from a Senior Property Manager. This will consist of periodic check-ins on skills development goals established between COO and employee.
- The PM is responsible for completing quarterly development and project goals as defined at the beginning of each fiscal quarter.
