Job Summary:
We are seeking a highly organized, energetic and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support across the company and its locations with key focus on ensuring efficient operations of the corporate headquarters. This role will involve tasks such as answering incoming calls, managing visitors, updating forms, coordinating travel and meetings and other administrative duties.
Responsibilities:
· Greet and assist visitors in a professional manner.
· Manage incoming and outgoing mail.
· Answer, screen and direct phone calls.
· Schedule meetings and appointments and manage calendars.
· Assist with data entry and the preparation of regularly scheduled reports.
· Assist HR in onboarding new employees.
· Order and maintain office supplies and inventory.
· Maintain and update phone lists.
· Book travel arrangements.
· Maintain a filing system for important documents
· Submit and reconcile expense reports and supporting documents.
· Manage cell phone program and reconcile billing.
· Support various teams and management with administrative tasks.
· Other duties may be assigned.
(MUST have to be hired):
· High School Diploma
· Proven experience as an administrative assistant or office admin assistant.
· Excellent time management skills and ability to multi-task and prioritize work.
· Strong attention to detail and problem-solving skills.
· Excellent written and verbal communication skills, welcoming personality.
· Strong organizational and planning skills.
· Strong attention to detail.
· Self-directed and motivated.
· Computer proficiency and technical aptitude with MS Office programs (Word, Excel, and PowerPoint).
Preferred:
· Knowledge of office management systems and procedures.
· PowerPoint presentation preparation.
Job Type: Part-time
Pay: From $19.00 per hour
Expected hours: No more than 30 per week
