Editorial Assistant
This position is full time and on site at Ft. Belvoir, Virginia. It requires a well-organized and detail-oriented candidate who is able to multi-task and perform a broad range of functions under the tight deadlines associated with the processing and publication of a bimonthly magazine. The successful applicant must have outstanding written and oral communication skills, strong analytical and problem-solving skills, and must work efficiently as a self-starter and independent worker.
This position provides editorial support in the coordination of a bimonthly professional magazine, including entering, revising, proofreading, and tracking all aspects of article processing for the magazine.
Editorial responsibilities include:
Receiving new submissions for processing through the managing editor. The editorial assistant ensures that authors include all of the required files with their submission, in adherence to the guidelines for contributors.
Coordinating the editing process with multiple editors and ensuring that the articles proceed according to the appropriate deadlines.
Consolidating multiple edits and turning over the approved articles to the graphic designer for the layout and design, printing and distribution.
Editing both print and digital layouts against original articles to ensure that no errors were introduced.
Establishing, storing, and maintaining electronic files using a database management and archiving system.
Maintaining the author mailing list and keeping contact information current.
Transcribing interview recordings to prepare for editing and publication.
Talking and corresponding with high-level Department of Defense personnel, faculty and staff, members of the academic community, and industry personnel.
Tracking the status of articles in the editing process, and providing the managing editor with a status report on a weekly basis.
Preparing mass mailings and assisting in the distribution of the publication.
Proofreading documents for obvious errors in grammar, punctuation, spelling, and checking copies for readability in accordance with guidelines and style manuals.
Picking up and/or delivering the magazine.
Working diplomatically and politely with clients.
