Mobile Loaves & Fishes (MLF) is a social outreach ministry that has been empowering communities into a lifestyle of service with the homeless since 1998. Founded in Austin, Texas, the organization serves its homeless neighbors through three core programs: Truck Ministry, Community First! Village, and Community Works. Often referred to as the most talked about neighborhood in Austin, Community First! Village is a 51-acre master planned development that provides affordable, permanent housing and a supportive community for men and women coming out of chronic homelessness. We are now embarking on a new phase of community expansion, adding more than 1400 new neighbors over the next 5-10 years.
About the Role
The Property Management Team at Community First! Village empowers neighbors through accountability, goodness, and mutual respect to create a peaceful, healthy, and caring community. The Property Management Administrative Assistant plays a pivotal role in fostering seamless communication and support between our neighbors and the Property Management department. Responsibilities include email and voicemail management, work order coordination, appointment scheduling, and neighbor assistance.
This is a full-time, non-exempt position reporting to the Property Manager. The hours are 8:30am-5:00pm, Monday-Friday. Some nights and weekends may be required. The Property Management Administrative Assistant will office at Community First! Village located at 9301 Hog Eye Road, Austin, TX 78724.
Duties & Responsibilities

Neighbor Assistance: Serve as the primary point of contact for neighbors seeking assistance through Property Management services, providing empathetic and responsive support.

Email and Voicemail Management: Oversee the property management email and voicemail accounts, ensuring inquiries are promptly directed to the appropriate department member for resolution.

Work Order Coordination: Receive, prioritize, and assign work orders to the relevant departments for resolution, ensuring efficient resource allocation and timely completion.

Appointment Scheduling: Coordinate and schedule appointments for neighbors with the appropriate team members and ensure timely access to support services.

Documentation Handling: Collect, organize, and distribute Property Modification requests and incident report forms to the relevant team members for review and action. Scan documents into neighbor files

Referrals: Refer neighbors to the appropriate Neighbor Care Administrator for additional support services as needed, ensuring seamless access to resources.

Relationship Building: Cultivate positive relationships with neighbors, fostering a sense of trust and community within the village.

Rallyhood Oversight: Oversee Rallyhood posts for the Property Management Team, communicating important information to our neighbors.

Package Center Code Requests: Manage requests for access codes to the package center, ensuring security and efficiency in package deliveries.

After Hours Guest Management: Coordinate guest parking passes and track overnight guests.

Knowledge, Skills, Abilities & Principles

1-2 years of related administration experience.

Experience with evaluating the needs of those that you serve and helping to connect them with the appropriate providers and resources.

Experience in customer care.
- Experience working with people while they are escalated, de-escalation training preferred.

Critical thinking skills that involve reasoning, organizing, and analyzing information so problems are accurately understood, and solutions are outcome-oriented and purposeful.

Attention to detail, and time management skills with a focus on accurate and timely record keeping producing required reports.

Flexible and adaptable, adjusting priorities to unexpected circumstances and styles to meet the needs of others; recovers quickly from problems and setbacks.

Must have strong communication and active listening skills.
- Computer proficiency in Microsoft Office Suite.

Must be able to work independently.

Must have a valid driver's license.
