Job Summary
The Facilities Coordinator is responsible for the maintenance of B’nai Jehudah’s building and grounds, ensuring that these premises are safe and secure, and that all equipment, systems, and devices operate properly. The Coordinator is responsible for the daily repair, upkeep, and maintenance of the building systems. This is a “hands-on” position to directly take care of the building. This person will be tasked with regularly setting up tables and chairs for various events.
The ideal candidate enjoys physically working on projects and gets satisfaction from defining the scope of a job and seeing it through from start to finish. While this position requires coordinating projects with staff and vendors, the ideal candidate is detail oriented and enjoys working independently to a high standard.
Essential Duties and Responsibilities – Maintaining B’nai Jehudah Building and Grounds
· Duties include maintenance and repairs, room set ups, groundskeeping, and indoor and outdoor maintenance and repairs; will recommend when to contact a specialist.
· This position is responsible for communicating with maintenance and repair vendors, ensuring the work is completed correctly and in a timely manner, and ensuring B’nai Jehudah has items needed for regular inspection by state and local government officials. These systems include but are not limited to HVAC, electrical, plumbing, lawn maintenance, irrigation, alarm system, security, pest control, and waste disposal.
· Monitors performance of heating, ventilation, and cooling systems for the facility; performs standard repair/replacement of components, as appropriate, and non-technical maintenance tasks such as cleaning of heating and cooling fan coil units and adjustment of system controls. Will recommend when a licensed HVAC company should be called.
· Monitors and performs non-technical maintenance of plumbing systems, to include standard repair of leaking fixtures, including sinks and toilets. Will recommend when a licensed plumber should be called.
· Monitors, maintains, and performs standard repairs to building electrical facilities and systems, such as fixtures, switches, lightbulbs, and outlets. Will recommend when a licensed electrician should be called.
· Performs carpentry maintenance tasks including minor drywall repair, painting, door, and hardware installation, as appropriate.
· At the direction of the Events Coordinator, put together room set-ups and breakdown (including tables, chairs, electronics, ritual items), and ensuring that specific details of each event request are met.
· Performs routine maintenance including documents testing and inspections of lighting, alarm, roof, kitchen equipment (grease trap, kitchen hood, water heaters, boilers etc.) to ensure our building is up to code.
· At the direction of the Events Coordinator, perform some commercial kitchen maintenance. Will recommend when a licensed repair company should be called.
· Supplement outsourced services as needed such as sweeping walkways or cleaning up debris from wildlife.
· Assists in routine maintenance scheduling.
· Documents facilities maintenance and keeps appropriate records of work performed.
· Reports to the events coordinator, working together in tracking expenses and coordinating with external vendors.
· Ensures proper care in the use and maintenance of equipment and supplies.
· The Coordinator will be on-call for emergencies, including at the preschool and religious school.
· When needed, the Coordinator will assist the cemetery caretaker in maintenance and repairs, including the mausoleum.
· Promotes continuous improvement of workplace safety and environmental practices.
· Performs miscellaneous job-related duties as assigned.
Requirements and Skills
· Minimum of two (2) years’ work experience as a Facilities Coordinator or similar role.
· Strong knowledge of facilities management operations and best practices.
· Familiarity with alarm systems, security systems, and commercial kitchens a plus.
· Hands-on experience with facilities management software is a plus.
· Understanding of safety regulations in offices.
· Well-organized.
· Sound judgement and the ability to think quickly during emergencies.
· Self-starter able to independently to manage and complete tasks.
· Demonstrated customer-service orientation, with enthusiastic, organized, highly motivated, responsible, courteous, discreet, flexible, hands-on, and creative.
· Demonstrated ability to organize and prioritize tasks to meet deadlines.
· Physical requirements:
o Able to frequently lift, carry, push, or pull items greater than 40 pounds.
o Able to safely and comfortably walk or stand for up to four (4) continuous hours.
o Able to climb up and down ladders and navigate various areas of the building.
o Able to speak fluent English.
· Demonstrated ability to work as a team player.
· Demonstrated courtesy, respect, and compassion in dealing with staff, members, and other entities.
· Ability to use MS Outlook, Word and Excel a plus.
