The Warehouse Coordinator is responsible for direct oversight of the Field Service and Customer Service returns process. This includes inspecting returned items for quality and condition, accurately documenting return transactions, and updating inventory records. The role requires strong attention to detail, proficiency with inventory management systems, and excellent problem solving and communication skills to ensure all returns are accurate and processed in a timely manner. Job Duties:
- Direct oversight over customer returns process ensuring accurate recording and tracking of all returned items in the inventory management system.
- Conduct thorough inspections of returned items to determine their condition, verify eligibility for return, and identify reasons for the return.
- Assess returned products for damage, defects, or discrepancies, and take appropriate actions such as restocking, refurbishing, or disposing of the items.
- Maintain detailed records of all return transactions, including reasons for returns, product conditions, and any actions taken, ensuring compliance with company policies and procedures.
- Communicate with Customer Service regarding return policies, procedures, and status updates, providing exceptional service to ensure customer satisfaction.
- Collaborate with the Sales, Customer Service, and Warehouse teams to resolve return issues, streamline return processes, and improve overall efficiency.
- Update inventory records to reflect returned items accurately and manage the organization and storage of returned goods within the warehouse.
- Ensure all returns are processed in accordance with company policies, industry regulations, and any relevant legal requirements.
- Generate and analyze reports on return trends, causes, and impacts, providing insights and recommendations for reducing return rates and improving product quality.
- Identify opportunities for improving return processes and procedures and participate in the implementation of best practices to enhance operational efficiency.
- Train and guide teammates or new team members on return processes, systems, and best practices.
- Assist in periodic inventory audits to ensure accuracy in stock levels and return records and help identify any discrepancies or areas for improvement.
- This position will also assist with other department responsibilities and special projects delegated by direct manager.
Education:
- Bachelor’s Degree in related field preferred or equivalent work experience a minimum of 3 years of experience in a high volume, fast-paced distribution center.
Experience:
- 3+ years of experience in a high volume, fast paced distribution center
- Experience with inventory control and returns process
- Proficient in using inventory management software (e.g., SAP, Oracle, Microsoft Dynamics, etc.)
Knowledge, Skills & Abilities:
- Proficiency with inventory management software (e.g., SAP, Oracle, Microsoft Dynamics) and experience in data entry and record-keeping.
- Understanding of the products handled by the company, including their specifications, uses, and common issues that may lead to returns.
- Experience in customer service roles, with strong communication skills to handle return inquiries and provide support.
- Knowledge of quality control procedures and standards for inspecting returned products and determining their condition.
- Familiarity with company return policies and procedures, as well as any relevant industry standards or legal requirements.
- Ability to problem solve and analyze return issues and collaborate with other departments to resolve discrepancies and improve processes.
- Strong attention to detail for accurately documenting return transactions and inspecting returned items.
- Experience in generating and analyzing reports related to returns, identifying trends, and making data-driven recommendations.
- Understanding of warehouse operations, including organization, storage, and inventory control practices.
- Basic technical skills to handle potential refurbishments or minor repairs of returned items.
- Prior experience in a similar role within the distribution, logistics, retail, or manufacturing industries.
- Ability to lift up to 40 lbs.
