Roles and Responsibilities:
The Executive Personal Assistant supports the Owner/CEO in their daily professional and personal life so that they may focus on high-level tasks. The duties for this role vary but typically include tasks like screening phone calls, responding to emails, running errands, scheduling business and personal appointments, assisting with correspondence with business and personal lawyers, accountants, and medical professionals, arranging travel, preparing documents and note taking.
The Executive Personal Assistant will/is:
Act as the first point of contact for CEO
Answer incoming calls and direct them accordingly
Record notes and messages
Schedule and arrange meetings and conference calls
Manage travel arrangements and itineraries
Perform as a liaison between the CEO, business partners and personal professionals
Manage personal and business calendars and appointment scheduling
Read and write correspondence in mail or email form
Provide administrative support
Conserve client’s time by reading, researching, and routing correspondence; draft letters and documents, collect and analyze information, and initiate telecommunications.
Prepare meeting rooms for appointments, coordinates schedules, and greet customers and clients prior to meetings
Complete personal tasks such as: picking up dry cleaning, making restaurant reservations, getting coffee/meals, and schedule all personal appointments
Manage personal policies and accounts (insurance, credit, bills, etc.)
Complete additional duties such as: organize events and assisting with home duties.
Provide courteous service to all customers and associates in accordance with the Company Standards
Be courteous and pleasant to all coworkers and supervisors
Ensure all company policies, procedures standards and service standards are fulfilled
Partner with other departments and vendors to address issues or opportunities in a timely and productive manner
Qualifications and Education Requirements:
College graduate
Communication:
Excellent communication skills, written and oral
Leadership:
Able to demonstrate problem resolution skills
Able to work effectively with personal and professionals from diverse backgrounds
Organizational Skills:
Ability to manage multiple tasks simultaneously while prioritizing
Demonstrate the highest level of ethics and integrity
Strong sense of responsibility and ability to complete tasks with minimal supervision
Exemplary planning and time management skills
1-3 years’ experience as a personal and/or executive assistant
Must sign a NDA/confidential agreement
Proficient with Microsoft Office
Excellent technology skills
Proven ability to manage a flexible schedule
Always available via mobile phone
Ability to interact with high profile clients and executives
Job Type: Full-time
Pay: $60,000.00 - $65,000.00 per year
