Description
Justice for all Immigrants (“JFAI”) is seeking to hire a part-time Operations Manager to manage grant accounting and reporting and office operations. The Operations Manager should be capable of working in a dynamic, fast-paced environment where collaboration is important. The Operations Manager will report to the Executive Director.
About JFAI
JFAI is a non-profit immigration legal service provider that offers immigration legal services to low-income immigrants and refugees in the Houston and San Antonio regions. JFAI is an independent non-profit organization that provides legal services to clients of all faiths and backgrounds. JFAI is a member of the National Immigration Law & Justice (ILJ) network, a national non-profit dedicated to providing quality immigration legal services throughout the nation.
Responsibilities
Financial Administration
· Manages accounts receivable and deposits;
· Tracks and maintains all expenses;
· Monitors bank accounts and credit cards;
· Manages invoices and accounts payable;
· Prepares and monitors grant budgets and compliance;
· Reviews monthly invoicing to ensure it complies with contract specifications;
· Completes monthly financial reports, 990’s etc.;
· Coordinate office relocations with vendors;
· Serves as the liaison with bank, payroll, IT, insurance and other vendors;
· Manages all legal requirements related to the organization: state charitable solicitations, certificates of good standings, incorporation licenses, program and financial audits, etc.;
· Oversees all onboarding of new staff and key volunteers;
· Manages staff timesheets, vacation, reimbursements, etc.;
· Maintains HR files and hiring, tax requirements;
· Overseas general office operations including facilities, copiers, technology, etc.;
Grant Management & Development
· Writes and monitors grant proposals and reports;
· Manages monthly, quarterly and yearly reporting and invoicing for all government grants;
· Assists with the publication of the annual report and organization brochure;
· Monitors all programs in regard to grant requirements and client outcomes;
Qualifications
● At least five years of experience in a nonprofit setting;
● Bachelor’s degree in relevant field or equivalent accounting experience and commensurate work experience;
● Experience in grant management and oversight of financial transactions with nonprofit organizations;
● Demonstrated fiscal management skills, including budget management, developing and maintaining appropriate internal controls, and grant administration policies and procedures;
● Proficiency in QuickBooks, or similar accounting program;
● Strong commitment to public interest and to the enfranchisement and empowerment of immigrant communities;
● Excellent organizational skills and attention to detail;
● Ability to work collaboratively in a team-based environment;
● Ability to work sensitively with people having diverse personalities, lifestyles, cultures and faiths;
● Ability to communicate with staff, clients and volunteers effectively;
● Ability to multitask;
● Strong computer and written communication skills;
● Experience with grant writing, monitoring and reporting (private and government);
● Competency in nonprofit financial management, operations, fundraising;
Job Type: Part-time
Pay: $25.00 - $32.00 per hour
Expected hours: 20 per week
