Purpose of the position
Reporting to the Facilities and Security Manager, you will be responsible for all aspects of the day to day (non-mechanical) operations of FII’s facilities’ in Houston, Texas. This includes all facility fit up/ renovations/alterations, procurement and servicing of furniture and facility related equipment, janitorial/custodial services, grounds keeping, move coordination (including space planning and allocation), building code compliance, OSHA safety and records retention. This diverse workload involves operational deadlines, shifting priorities and simultaneous organization, all of which can impact the performance of the facility. Callouts to the facility can also be expected during off-hours. Overtime may be required on occasion.
Duties and Responsibilities
· Oversee preventative maintenance programs, warranty maintenance programs and energy management programs for: facilities, interior and exterior building components, mechanical components, furnishings, fixtures, landscaping, etc. Responsible for completing work order activity to include: internally generated work requests and projects. This includes responding to and rectifying any facility maintenance requests either by providing the maintenance and handyman services or utilizing contract services as required for maintaining building structure and services. Will ensure that all staff requests/concerns are followed up in a timely and effective manner and will immediately share any areas of concern with their supervisor.
· Performs regular facility inspections/audits, including all common areas and storage rooms, identifying any facility deficiencies or follow up work. Will provide written reports to Manager outlining required maintenance complete with quotations and recommendations for work. Will provide ongoing recommendations to improve operations within the facility.
· Create and maintain a system to track paper and online records in relation to preventative and cyclical maintenance.
· Supports the planning and execution of facility tenant improvements, projects, additions, office/warehouse area moves and process changes conducted throughout all Houston facilities. This includes the preparation of Request for Proposal (Quote or Offer) documents as applicable, evaluation of proposals and upon award, coordination of work.
· Provides financial/budget information to the Facilities Manager on building operating and capital costs, process purchase orders and invoices related to facilities budgets according to procedures and guidelines.
· Supports the preparation of short and long term strategic plans as they relate to business requests and Facilities initiatives.
· Proactively contribute to the ongoing process and plant operations by reporting and analyzing on site activities to help establish key improvement initiatives.
· Arranges for, supervises and assigns the work and co-ordinates all the maintenance crew members and outside contractors. This would include carpet maintenance, office, warehouse, washrooms, locker rooms, meeting rooms, kitchen/cafeteria/recreation centre and all common area cleaning. Supervises and assigns the work of all facilities crew members.
· Responsible for all facility signage (both internal and external), ensuring that proper signage is in place at all times.
· Responsible for the acquisition of all furniture and facility related equipment. Will actively source out furniture suppliers as required.
· Maintains accurate inventories of all furniture and equipment.
· Performing other duties as required
Education and work experience
· Must have a minimum of 5 to 8 years of experience in Facilities Supervisory and related experience in project management.
· Must have knowledge of various building codes, rules, regulations and the operational procedures pertaining to the repair, maintenance and construction of buildings, machines and equipment.
· Requirement for a responsive customer focused approach to ensure facilities are maintained at optimum levels. Experience using AutoCAD is an asset.
· Able to organize and process information in a logical prioritized order, managing time effectively to accomplish tasks within stated or published deadlines.
· Ensures the work assigned is completed as required by the standards of the trade, meeting all codes, specifications, standards and procedures.
· Follows required FII and OSHA’s applicable safety procedures and ensures personal, public and co-worker safety when completing tasks.
· Maintain records, as-built blueprints and schematic diagrams when altering any existing or new systems.
· Ensures that equipment, workspaces and tools supplied by FII are used for their intended purposes and are maintained in safe working order.
· Exercises respectful and courteous communication and interactions with co-workers, contractors, consultants, suppliers, and all other members of FII staff members.
· Manages own time effectively and ensures immediate supervisor is kept informed of activities and progress of work.
· Exercise discretion, confidentiality and attention to detail.
· Ensure regular work attendance and timely reporting for start of shift.
· Carry out duties in a manner which ensures personal health and safety as well as the safety of others.
· Understand the financial indicators important to the company and to facilities management.
· Ability to work in a team environment with minimum supervision.

- Average to advance skills with Microsoft programs, word, excel, PowerPoint, VISIO and ability to add or modify these programs.
- A strong understanding of electrical system and how to diagnose issues.
- Good understanding of the operation of commercial buildings.
- Knowledge of A/C systems, compressed air system, vacuum pumps, BAS systems.
- Must have their own hand tools, list will be provided also needed item not provided, steel toe boots or OSHA approved safety shoes with harden toe protection.
- Manufacture of products background is a plus.
- Use of cad software is a plus but not a requirement for the position.
