Primary Function: To coordinate patient care activities by performing routine clinical and administrative tasks under the direction of a Medical Provider,
in an efficient, effective, safe and quality oriented manner, according to established policies and protocols.
Minimal Qualifications:
MA I:
1. High school graduate or equivalent
2. Documentation of education and training in a Medical Assistant Program
3. CPR Certification
MA II: (in addition to MA I qualifications)
1. Successful completion of competency checklist for this level
2. Minimum of 1 year experience
3. Meets Requirements or better rating on annual performance level
Essential Duties & Responsibilities: MA I
1. Obtains and documents chief complaint, brief history regarding chief complaint, other measurements in the medical record.
2. Documents information such as allergies, medications and dates of screening exams.
3. Assists MA II in reviewing medical records for completeness, need for routine testing and receipt of diagnostic test results and consultation reports.
4. Obtains test results and reports from outside entities (ER or hospitalization discharge notes) if needed.
5. Performs and documents in-house labs and testing:
- Urine dipstick
- Urine hcg
- Occult blood
- Visual acuity
- Hearing
- Color blindness
- Obtain specimens for testing, including doing phlebotomy
- A1C
- Lead
- Hgb
- PT/INR
- Cholestec
- Glucose
- PF Meter
6. Reports any emergency situation, abnormal vital signs, or abnormal test results to provider.
7. Prepares room and patient for provider’s examination.
8. Assists with procedures as directed.
9. Administers medications and immunizations.
10. Schedules appointments and completes requisition for diagnostic testing.
11. Calls in prescription following written orders.
12. Inform patients of any delays due to schedule back-up, emergencies, etc.
13. Assists in answering telephone calls, documents phone messages and ensures follow up by the appropriate persons.
14. Assists MA II in maintaining tracking log.
15. Obtains patient records from Medical Records for incoming labs, diagnostic results, etc.
16. Files signed reports and miscellaneous papers in the chart.
17. Completes forms for outside agencies, such as CVR and EPSDT visits.
18. Returns completed charts to Medical Records after completion.
19. Performs quality control checks on lab equipment, such as glucometer and rapid strep.
20. Keeps all work areas clan and safe, including exam rooms and lab.
21. Stocks exam rooms with needed supplies.
22. Replaces all equipment to the appropriate areas.
23. Participates in self-development.
24. Participates in quality improvement activities.
25. Demonstrates a cooperative team approach in activities.
26. Other duties and responsibilities as assigned.
Essential Duties & Responsibilities: MA II
1. Able to perform the essential duties of MA I
2. Demonstrates some knowledge of health issues, medications, lab values, diagnostic tests and patient care resources.
3. Performs the following:
- Capillary Blood Glucose
- Lipids
- A1C
- Hgb
- EKGs
- Wound Care
- Ear Lavage
- Spirometry
- Peak Flow Meter
- Nebulizer Treatment
4. Determines tests, immunizations, education, etc. required for health maintenance by utilizing health maintenance and immunization forms.
5. Orders tests and makes referrals according to standing orders.
6. Schedules appointments and completes requisitions for diagnostic testing and pre-authorizations.
7. Identifies patient/family needs and implements appropriate interventions.
8. Assists patients in accessing support services by referring them to Outreach.
9. Completes the problem and medication list for each patient.
10. Completes health maintenance and other forms such as diabetes flow sheet.
11. Manages client referrals and follow-up to consultants such as in Medical Specialists, behavioral health, patient medication assistance programs, and substance abuse programs.
12. Maintains tracking logs for lab tests, diagnostic tests and referrals.
13. Screens calls, answers patients’ questions, documents phone messages and ensures follow up by the appropriate persons.
14. Checks emergency and other equipment at the beginning of the shift
15. Inventories and orders medications and supplies
16. Maintains sterilization of instruments
17. Performs efficiently in stressful situations by seeking guidance, informing appropriate person and documenting events in a timely and professional manner.
18. Advises Medical Director or Office Manager of emergency medications that will be expiring in the next month
19. Receives and disperses diagnostic and consultation reports as appropriate.
a. Initial all labs and other reports with date, when received, note on log sheet
b. Obtain medical chart, attach report and give to provider
c. Discuss notification of patient with provider
20. Other duties or responsibilities as assigned.
Physical Demands:
- Ability to occasionally lift and/or move up to 25lbs
- Eye-hand-foot coordination
- Climbing/balancing on step stool to reach supplies/equipment in cupboards/cabinets
- Frequent standing, walking, handling, fingering, pulling, pushing, and reaching
- Occasional sitting when charting, completing forms and lab requests, transcribing orders, and reading reports
- Occasional stooping, kneeling, crouching, crawling, running, and reaching
- Continuous use of corrected vision, depth perception, peripheral vision and color vision
- Continuous use of auditory, olfactory, and tactile senses

Working Conditions:
- Indoor in sometimes warm and dusty environment
- Frequent exposure to various fluids, noise, moisture, noxious odors, and gases, biological and chemical agents
- Occasionally required to be outdoors for travel and health fairs
Equipment Use:
- Frequent use of stethoscope, BP sphygmomanometer, scale, thermometer, otoscope, medical testing equipment, medical surgical supplies, and personal care items
- Frequent use of telephone system, EHR, computer, printer/scanner/copy/fax machine, and other general office supplies
- Occasional use of wheelchair and gurney
Work Hours:
- Eight or ten hour work days with variable/flexible hours depending on patient needs
- Rotation on weekends and extended hours as necessary
- Overtime may be required
- Reports to work on a timely manner
- If late to work because of emergencies: Calls to notify staff will be late so staff can reschedule patients.
- Notifies staff on a timely basis of PTO so can flex schedule of staff
- Maintains clinic hours as defined by administration
