Valco Melton, a world leader in adhesive application, fluid handling, and quality assurance systems, is seeking an experienced Customer Service Representative to join the Customer Service team based at our world headquarters in Cincinnati.
In this position, you will work closely with Valco Melton's customers and colleagues from various departments to coordinate the intake and fulfillment of system/part orders. Transactions are business-to-business, so you will have an opportunity to build close, positive, ongoing relationships with our industry partners. The product line is technical and presents opportunities for problem-solving and acquiring advanced product knowledge. Depending on your language skills, you may also have an opportunity to work with international customers and team members.
The Customer Service team is a small group (~5 team members) with a collaborative and supportive team culture.
Note: fluency in more than one language is preferred but not required.
Specific Responsibilities:
- Provide first point of contact support to incoming calls/emails/requests from customers.
- Use case management tools to record caller inquiries/requests, update cases, and communicate resolutions.
- Basic data input, document verification, and approval of transactions.
- Manage warranty claims and returns, keeping accurate records.
- Manage system and spare part orders.
- Collaborate with other teams, including Shipping, Sales, and Accounting, to ensure smooth order fulfillment and delivery.
- Calmly manage customer complaints, should they arise, maintaining proper decorum at all times.
- Coordinate international shipments, including documentation, customs clearance, and logistics arrangements (when applicable).
Performs other duties as assigned.
Required/Preferred Qualifications:
- Minimum of 3 years of experience in a similar role, preferably within the manufacturing industry.
- Excellent communication skills, with the ability to interact effectively with international customers and internal stakeholders.
- Detail-oriented with strong organizational skills and the ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite and experience with CRM software.
- Fluency in Spanish is highly desirable.
- Experience managing international transactions and export processes (preferred).
- Certification in Export Management or related field is a plus.
