Primary Function
Objective
The primary objective of the Field Agent is to support the property management and maintenance departments by conducting various field operations. This role is essential for maintaining properties' physical integrity and appearance, ensuring compliance with regulations, and enhancing tenant satisfaction through proactive service.
Scope
The Field Agent is responsible for carrying out various on-site activities, including property inspections, maintenance checks, and community compliance monitoring. This role acts as the eyes and ears of the property management team in the field, providing timely updates and reports that contribute to the effective management of property assets.
Principal Duties/Responsibilities
Onboarding
- Baseline Inspections: Assist the Property Manager with baseline inspections for new properties. Document conditions meticulously and report any issues promptly to ensure properties meet Land South’s standards before tenants move in.
Property Management
- Signage and Notices: Remove marketing signs from properties post-rental and post notices as required by management or regulatory needs.
- Vacancy and Compliance Checks: Regularly check vacancy status and perform community compliance and health & safety inspections. Drive-by inspections should monitor adherence to community rules and regulations.
- Reporting: Complete all inspection reports using inspection software and send them to the Assistant Property Manager (APM) and Property Manager (PM) for review.
Maintenance
- Proactive Maintenance Identification: During inspections or drive-bys, identify items that require maintenance or preventative measures and notify the APM and PM.
- Maintenance Support: Assist the maintenance coordinator by reporting maintenance needs and potential safety issues at properties to prevent escalations.
Building / Site Management
- Site Walkthroughs: Conduct regular walkthroughs of each building and common areas to ensure cleanliness and safety standards are maintained.
- Violation Management: Manage and report any violations found during site management activities to ensure they are addressed promptly.
Inspections
- Move-out and Quality Control Inspections: After a tenant vacates, perform detailed move-out inspections to assess any damages or maintenance needs. Conduct quality control inspections before and after maintenance projects to ensure work quality meets Land South standards.
- Periodic and Drive-By Inspections: Carry out periodic and drive-by exterior inspections to ensure ongoing property maintenance and compliance.
Leadership & Business Metrics
- Team Integration: Develop and maintain strong working relationships with the internal team, contributing to property management and maintenance metrics.
- Performance Reporting: Regularly report on field activities and their impact on property management goals, helping the team measure effectiveness and identify areas for improvement.
Education/Experience Requirements
- No Minimum experience required
- Excellent verbal and written communication skills are essential. Capable of drafting clear and professional reports, correspondence, and documentation and effectively communicating with tenants, owners, and team members.
- Must possess outstanding organizational abilities and excellent time-management skills. Should be adept at prioritizing tasks, managing multiple projects simultaneously, and meeting deadlines.
- Expertise in using property management software, specifically AppFolio, is required. The candidate should be able to efficiently use all software features, including data entry, report generation, and system management.
- Strong attention to detail is critical for ensuring accuracy in inspections and field management.
- Ability to work independently with minimal supervision, demonstrating initiative and the capacity to make informed decisions based on property management best practices.
- Maintaining a friendly and professional demeanor is vital. The candidate should be approachable and capable of creating a positive environment for tenants and staff.
