Job Description: Client Experience Coordinator
Job Summary
The Client Experience Coordinator plays a crucial role in managing the initial interaction between clients and WKEDS. Specifically, their responsibilities revolve around intake calls. The Client Experience Coordinator is responsible for conducting an Initial Case Assessment, engaging empathetically with potential new clients (PNC’s), asking questions to ascertain fit, documenting responses and closing sales resulting in new clients retaining the firm. This position is expected to be charismatic, sales-driven, customer-centric and detail oriented. This position plays a significant role in ensuring firm success through sales and is incentivized for results and success.
Essential functions
- Facilitation and completion of engagement calls: This position is responsible for facilitating and completing sales calls which have completed initial intake screens. Consequently, this position is expected to be available for potential new client (PNC’s) calls for a minimum of five PNC calls per day, five days per week (25 total), during scheduled hours.
- Reporting: This position is expected to update and accurately record in the firm’s customer relationship management (CRM) system all interactions with leads, prospects and engaged clients in a timely manner and in accordance with company standards. The role is also expected to contribute to reports on relevant data on a regular basis.
- Non-retained follow-up: This position is expected to follow-up with all non-retained clients to understand and document reason(s) for not signing with the firm.
- Communication: This position ensures smooth information exchange between intake, marketing and the legal team by maintaining strong attention to detail, and by completing documentation thoroughly with minimal errors/omissions.
- Administrative Support: The employee holding this position will attend department and company meetings as necessary. The employee will work with leadership to improve the management of the metrics around leads, qualified leads, and engagements of the firm.
- Abstain from provision of legal advice: In performing this role, the employee may be asked legal questions by PNC’s. Non-attorneys are prohibited by the Professional Rules of Conduct by the State Bar of Michigan and by the ABA rules of Professional Conduct from practicing law. Consequently, this employee must refrain from offering opinions which could be considered legal advice.

Work Environment and Physical Demands
This role operates in a professional office environment. Employees will work indoors using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The position is largely sedentary, involving tasks performed while sitting. Some filing activities are required. Specific physical requirements include:
- Close visual acuity for tasks like preparing and analyzing data, transcribing, viewing a computer screen, and extensive reading.
- Ability to operate standard office equipment and keyboards.
- Walking short distances and occasional driving for material delivery.
- Lifting and carrying small parcels and packages.
- Standing, walking, and sitting.
- Stooping, kneeling, bending, and crouching (lifting up to 25 pounds).
Travel
- Some travel (10%) may be required.

- Minimum: One year of experience in a similar sales role
