PURPOSE OF POSITION:
Under the supervision of the Director of Pharmacy, the Assistant Director of Community Pharmacy is responsible for ensuring efficient workflow, identifying ways to optimize pharmacy financials, efficiently managing inventory, and providing excellent customer experience. The Assistant Director of Community Pharmacy supervises and coordinates staff, maintains pharmacy records and oversees compliance with government and agency regulations.
Assistant Director of Community Pharmacy interprets, compounds and dispenses medications and other pharmaceutical supplies within regulatory guidelines, company policies and procedures. The Assistant Director of Community Pharmacy provides counseling to patients regarding the effective use of medications, importance of adherence, awareness with drug interactions, and offers preventive healthcare services such as immunizations.
MAJOR RESPONSIBILITIES:
1. Supervises pharmacy staff and oversees the practice of all daily pharmacy operations.
2. Organizes and directs workflow within the pharmacy department.
3. Partner with Director of Pharmacy and Pharmacy District Manager with staff hiring, training, and coaching, and identifies developing talent within the pharmacy.
4. Fulfills preceptor duties and facilitates professional development for pharmacy students, interns and/or residents.
5. May coordinate the work of a small group to accomplish a project or assignment.
6. Responsible for ensuring pharmacy is meeting key performance indicators, as well as analyzing performance trends and identify areas of opportunity.
7. Reports any needs or inefficiencies within the department to Pharmacy Leadership.
8. Participates in the preparation and implementation of policies and procedures, and ensures the pharmacy operates in accordance to government regulations and health system standards.
9. Participates in quality management and utilization review programs.
10. Participates in pharmacy staff in-services and meetings related to systemwide and/or healthcare setting programs.
11. Participates and assists in community events such as brown bag, vaccination pods and others as requested by Pharmacy or Health System Leadership.
12. Performs any Pharmacy Department related audits and supports accreditation activities where applicable.
13. Maintains license in good standings.
14. Performs all duties in accordance to pharmacy standard operating procedures
15. Compliant with all training and certification requirements.
16. Performs related duties, as required.
17. Responsible for creating maintaining and managing pharmacy staff scheduling to ensure the pharmacy has appropriate staffing as outlined in the pharmacy standard operating procedures.
18. Maintains and submits all records, reports, and other documents as required by federal and state laws.
19. Ensures all records required relating to the purchase and distribution of prescription drugs, including controlled substances and products compounded in the outpatient pharmacy are kept.
20. Communicates relative pharmaceutical information and health system updates to pharmacy staff regularly.
21. Greets and engages with patients in a timely manner, in person or via telephone.
22. Interprets and enters prescription orders and patient data into computer profile.
23. Screens for drug allergy and drug interactions. Notes drugs or classes of drugs contraindicated in specific disease states.
24. Performs pharmacist tasks such as production, drug therapy review, verification, medication management, simple non-sterile compounding, and counseling.
25. Interacts with health care personnel to provide information on drug mechanism of action, side effects, or drug-drug interaction of various medications.
26. Documents interventions, adverse drug reactions (ADRs), and medication errors.
27. Counsels patients to ensure comprehension of disease state, purpose of medication, importance of adherence, goals of care, and remove barriers to achieving optimal health.
28. Collaborates with interdisciplinary teams to ensure a smooth transition of care.
29. Contacts patients via phone to provide reminder for medication pick-up, first-fill follow up, refills and pharmacy benefits profile updates.
30. Answers telephone/check voicemails in a timely manner, per Pharmacy standard operating procedures.
31. Contacts providers electronically or via phone for refill request, prior authorization request, alternative therapy, and clarifications as needed for prescription fill.
32. Contacts patients and providers to resolve issues related to medications that are not available, on order, or not covered.
33. Enters and updates billing information for third-party reimbursement.
34. Adjudicates claims and contacts third-party payers to obtain necessary approval for medications prescribed, determine alternative therapies approved, or to advocate on the patient’s behalf when appropriate (Early refills for misplaced medication, etc.).
35. Models and shares customer service best practices with all department staff to deliver a delightful customer experience, including the use of interpersonal skills (e.g., greeting, eye contact, courtesy, etc.).
36. Accepts payments and executes point-of-sale transactions.
37. Places completed prescriptions in appropriate storage space for patient pickup.
38. Retrieves medications for patient pickup once patient verification is completed.
39. Coordinates, implements and manages deliveries of medications and non-medications as per pharmacy standard operating procedure.
40. Maintains inventory of medications, OTCs, records of transactions, prescription log, and delivery logs.
41. Manages inventory of medications, OTCs and supplies, including but not limited to:
i. Placement of orders
ii. Ordering and managing of control substance
iii. Receipt of orders
v. Restocking of inventory
vi. Managing expired medication
vii. Managing returns
viii. Managing cycle counts
42. Preforms inventory processes including but not limited to paperwork, order review, returns, stocking, and physical inventory preparation.
43. Operates and troubleshoots automated dispensing systems, as needed.
44. Maintains a neat and organized workspace, as well as a clean pharmacy department consistent with NYS Pharmacy Laws, Rules and Regulations.
45. Provides clinical pharmacy services such as medication therapy management, immunizations, durable medical equipment, and other services related.
46. Complies with Food and Drug Administration (FDA) mandates and self-imposed manufacturer restrictions on particular drugs, as applicable including but not limited to the handling of hazardous drugs as defined in NIOSH, Risk Evaluation and Mitigation Strategy (REMS) programs and manufacturer limited distribution drug requirements.
47. Adhere to downtime procedures as outline in the standard operating procedure.
48. Ensure pharmacy is following all standard operating procedures.
49. Resolves customer issues in a timely manner and provides a positive customer experience.
50. Responsible for managing, preparing and supervising any 3rd party audits or inspections
51. Provides clinical pharmacy services such as medication therapy management, immunizations, durable medical equipment, and other services related.
