Position Overview:
We are seeking a detail-oriented and experienced Account Receivable Specialist with a background in mechanical services. The ideal candidate will be responsible for managing all aspects of accounts receivable, including invoicing, collections, and reconciliations, while also utilizing their knowledge of mechanical services to effectively communicate with clients and resolve any billing discrepancies.
Key Responsibilities:
Manage payment processing, including posting payments received, applying credits, and ensuring accurate allocation to customer accounts.
Conduct regular account reconciliations to verify the accuracy of transactions, resolve discrepancies promptly, and reconcile accounts receivable ledger to ensure accuracy and completeness of financial data.
Lead debt recovery efforts by proactively contacting clients with overdue balances, negotiating payment plans when necessary, and escalating unresolved issues to management.
Oversee invoice management from creation to distribution, ensuring invoices are accurate, compliant with contractual terms, and sent out promptly.
Collaborate with internal team members to streamline billing processes, implement best practices for efficient accounts receivable management, and address client inquiries.
Utilize accounting software and tools to maintain organized records of accounts receivable transactions, invoices, and client communications.
Provide support to the finance team during audits by preparing documentation and reconciliations related to accounts receivable.
Prepare regular reports on accounts receivable status, aging analysis, and cash flow projections for management review.
Qualifications:
Degree in accounting, Finance, or related field preferred.
years of experience in accounts receivable or related financial role, with a demonstrated understanding of billing processes and collections procedures.
Prior experience in the mechanical services industry is highly desirable, with knowledge of industry-specific billing practices and terminology.
Proficiency in accounting software such as QuickBooks Desktop, Outlook, Teams, Microsoft Excel and CRM.
Strong attention to detail and ability to prioritize tasks in a fast-paced environment.
Excellent communication and interpersonal skills, with a focus on providing exceptional customer service to clients.
Ability to work independently and collaboratively within a team environment.
