The mission of Jubilee Housing is building diverse, compassionate communities that create opportunities for everyone to thrive. Since 1973, Jubilee has worked to provide high quality affordable housing and holistic support to those experiencing persistent economic hardship in the Adams Morgan and Columbia Heights neighborhoods of Washington D.C. Jubilee operates 11 properties totaling 465 units of affordable housing, with another four properties and 120 units under development, and offers robust programming for residents and community members pursuing life goals.

Position Description
Under the direction of the Senior Facilities Manager, the Facilities Coordinator position provides the maintenance team with administrative support and timely coordination of work with vendors, maintenance staff, residents, and others. The role also provides contract administration for JHI (Jubilee Housing,) procurement purposes.
Specific Duties
Answer and generate work orders for all incoming maintenance calls in a manner that is timely, accurate and complete.
Together with the Director of Maintenance, and Maintenance Supervisor prioritize, assign, and coordinate work for the maintenance team.
Communicate with outside vendors regarding maintenance jobs.
Communicate with Director of Property Management and Community Managers regarding maintenance or issues at properties.
Follow up on the status of open jobs.
Maintain and update keys for the properties.
Communicate with the Director of Maintenance and Maintenance Supervisors regarding maintenance issues and material needs for the team.
Respond and follow up with tenant/vendor/community manager calls, emails, and voice messages promptly.
Calendar inspections and coordinate the closure of ALL outstanding items with the assigned tech to ensure compliance in a timely manner.
Responsible for designing and implementing sourcing strategies and procurement plans to support the maintenance operation and JHI objectives.
Drafts, reviews, negotiates, and maintains contracts and other business documents in support of the purchase of goods and services. Includes contract review and/or preparation and negotiation, contract administration and adherence to company policies and legal requirements and compliance.
Manages the process of contract terminations, expirations, extensions, and renewals.
Interfaces with/advises peers and corporate management staff with changes or results.
Negotiates contracts for goods, services, supplies, equipment, etc., ensuring quality, cost-effectiveness, and timely delivery.
Designs and manages the RFP processes to support program goals and requirements.
With the assistance of the Community Managers coordinate and schedule maintenance tasks, including routine inspections, repairs, and preventive maintenance activities.
Assign work orders to maintenance staff or external contractors and ensure timely completion of tasks.
Monitor maintenance progress and update stakeholders on status, including management and affected departments.
Maintain accurate records of maintenance activities, including work orders, inspections, and repairs.
Order and maintain inventory of maintenance supplies, equipment, and spare parts.
Ensure compliance with health and safety regulations and company policies during maintenance activities.
Develop and implement maintenance procedures and workflows to optimize efficiency and effectiveness.
Respond to maintenance emergencies promptly and efficiently, and escalate issues as needed.
Collaborate with other departments to coordinate maintenance activities that may impact operations.

Works with internal and client stakeholders in establishing, managing, creating RFPs, and analyzing purchasing projects.
Desired Qualifications
Candidate must have a sense of urgency, be organized, detailed oriented, and capable of working independently as well as in a team environment.
EDUCATION and EXPERIENCE: Bachelor's degree in business administration or related field from four-year College and/or University.
Minimum of two years of related experience and/or training. Minimum three years’ experience in procurement of real estate or facility management services and supplies.
COMMUNICATION SKILLS: Excellent written and verbal communication skills. Strong organizational and analytical skills.
Ability to provide efficient, timely, reliable, and courteous service to customers.
Ability to effectively present information.
Ability to respond effectively to sensitive issues.
FINANCIAL KNOWLEDGE: Requires advanced knowledge of financial terms and principles.
Ability to calculate intermediate figures such as percentages, discounts, and commissions. Conducts advanced financial analysis.
REASONING ABILITY: Ability to comprehend, analyze, and interpret complex documents. Ability to solve problems involving several options in situations.
OTHER SKILLS and ABILITIES: Proficient in use of Microsoft Office Suite. Working knowledge of database reporting and platform manipulation.
Familiarity with use of contract management tools and platforms.
Possess the ability to prioritize and manage daily workflow.
