Overview:
The Webinar & Virtual Events Coordinator will play a pivotal role in advancing a collaborative vision for the member societies of ACSESS by innovating stakeholder experiences, diversifying memberships, and raising the visibility of our disciplines and members. This individual will create and implement dynamic webinars, short courses, and virtual events that engage the members of the American Society of Agronomy (ASA), Crop Science Society of America (CSSA), and Soil Science Society of America (SSSA). By curating a comprehensive event calendar and leveraging subject matter expertise, the strategist will enhance member value and engagement through data-driven program success.

The ideal Webinar & Virtual Events Coordinator is a highly organized science communicator with excellent project management skills and self-motivation. The effective candidate has a strong understanding of agricultural and environmental sciences. The candidate is an effective strategist when evaluating webinar and event topics and occasionally hosting or moderating webinars, short courses, and events. This candidate also has a deep understanding of our diverse member groups’ needs and the ability to collaborate seamlessly with members, certified professionals, students, and staff. The successful applicant also has knowledge and understanding of metrics and reporting, assessing, and revising programs based on data-supported analysis.
Key Activities:
- Strategy and planning: Works with subject matter experts, staff, and members of the Societies to source webinar and virtual event topics. Works with staff and leadership to ensure a compelling mix of topics and event formats to meet program goals and enable/expand webinar and virtual event marketing.
- Editorial knowledge: Implements scientific knowledge of agronomy, crop, soil, and environmental sciences to curate a comprehensive and engaging webinar and virtual event calendar with the assistance of the Senior Manager of Member & Stakeholder Programs.
- Development and execution: Identifies and finalizes speakers and moderators suited to each webinar or virtual event, collaborates with volunteers to establish event outline, hosts rehearsals and provides technical support to presenter, ensures all event materials are prepared and uploaded in advance, and moderates events as needed.
- Virtual events and workshops: Develops, coordinates, and implements virtual events and workshops to engage existing members in nontraditional formats. Events may include new-member onboarding, networking sessions, virtual career fairs, and/or virtual workshops and short courses for specific member groups.
- Technical management: Assists in set up and management of virtual event platforms, works with the Service Center to troubleshoot technical issues before and during events, monitors and manages live event activities, including attendance engagement and Q&A sessions, and ensures high-quality audio and video output.
- Marketing and promotion: Works closely with the marketing team and other staff members to effectively promote webinars and events to audience segments, providing value across stakeholder groups.
- Member engagement: With colleagues across departments, seeks feedback from key members and stakeholders to develop virtual events that appeal to members from all backgrounds, and, with a portion of events, reach nontraditional or previously untapped member groups.
- Revenue and audience generation: Strategically develops and evaluates webinars and virtual events with an eye to increasing revenue (either directly, through non-member webinar purchases, or indirectly, through increased member value and membership recruitment and retention). Works with internal development team on webinar sponsorship strategy.
- KPIs and reporting: Set targets for events, works with on-staff data analyst to collect and maintain webinar reports, measures participant satisfaction, and analyzes and adapts programs to improve reach and performance.
- Continuing education: Stays up to date on the latest technology in webinars and virtual events, bringing new concepts forward for evaluation and implementation. Strives for continuous improvement of webinars and virtual events to increase member satisfaction.
- Cross promotion: Brings a strong understanding of ways to adapt and disperse content in unique and compelling ways, including (but not limited to) podcasts, videos, blogs, features, and social media posts. Works with staff across the organization to bring unique material to new audiences and formats.
Qualifications & Education:
Required: Experience developing and delivering online events or webinars with an emphasis on crop, agronomy, soil, or environmental sciences.
Preferred: Degree in agricultural communications, science communications, environmental communications, or extension education.
Experience:
Minimum of 1-3 years’ experience in delivering online events or webinars. Preference given to candidates with association, nonprofit, editorial, or outreach experience. Experience with project management, editorial management, and/or science communication is a plus.
Special Skills/Knowledge:
- Excellent written and verbal communication skills.

- Knowledge of Zoom, Teams, GoTo Webinar, and other communication technology.
- Strong work ethic and self-motivation.
- Professional, courteous demeanor and top-notch communication skills as an external-facing representative of the Societies.
- Preferred: Strong background or interest in agronomic, crop, soil, and environmental science.
