Role and Responsibilities
The Patient Coordinator position serves the needs of both the clients and professional staff. It is a customer service-oriented position in which it is necessary to pay attention to detail and possess the ability to perform multiple tasks, frequently switching from one task to another to be successful.
- Answer Phones
- Schedule Appointments
- Verify Insurance
- Schedule and manage Intakes
- Track caseloads
- Send out and track paperwork
- Check clients in
- Communicate with therapist on behalf of administrative needs of a client
- Collect Payment
- File paperwork
- Update paperwork as needed
- Apply proper patient notifications
- Scan and upload documents
- Communicate with managers when there is an issue
- Forward escalated or complex questions to front desk manager
- Attend front desk and staff meetings
- Send zoom invites
- Follow HIPAA guidelines
- Assist with ROI and documentation as requested
- Office maintenance
- Mailings
- Distribute mail
- Trouble shoots
- Coordinates client’s administrative needs with therapist
- Coordinates with therapist on scheduling and caseload
Additional Notes
This position is meant to coordinate the administrative logistics between client and therapist.
Qualifications: Working knowledge of computer systems and knowledge of the following software applications – Microsoft Outlook 365, Word, Excel. Previous HIPAA and healthcare setting experience.
Organizational and communication skills sufficient to manage projects and communicate with internal and external contacts.
Schedule: Monday - Friday, full time (32-40 hours) or part-time (25-30 hours).

Pay: $18.00 - $20.00 per hour
Expected hours: 30 – 40 per week
