Construction Administrative Specialist
A well-established, growing, reputable Construction company has an immediate opportunity for a Construction Administrative Specialist. The steady, rapid growth of our company has created the need to hire someone who can step in and immediately order materials, organize documentation, schedule, coordinate projects, pull permits, work with vendors, and monitor day to day operations. The successful candidate will have strong organizational skills, detail oriented, a passion for timeliness and excellence, and the ability to communicate to all levels in an organization. If you have Two (2) plus years of experience in administrative construction and AP skills you may qualify for this position.
Essential Responsibilities:
· Prepare subcontractor workorders for review
- Administrative and AP with construction projects
· Identify dates subcontractor submittals
· Issue submittals to subcontractors
· Track & follow up with subcontractors to ensure submittals are received on time
· Maintain & update project submittal register
· Maintain submittals in sequential order
· Track submittal review time and follow up with proper parties
· Prepare plans for review
· Request schedule of prices from subcontractors
· Process subcontractor request for information (RFI’s) & submit to
· Maintain & update log
· Assist with tracking and procuring closeout documents from subcontractors in advance of the project completion date
· Coordinate with PM/Superintendent and print hard copies of drawings, specs, plans, approved submittals & RFI’s
· Coordinate with Superintendents after project completion
Supporting Responsibilities:
· Payroll processing, AP, time & attendance
· Types forms, correspondences and reports
· Schedules materials, supplies and hardware to be shipped to shop or site, as needed
· Fleet and equipment records – mileage, hours and tracking-scheduling for services
· Fuel ordering for on-site tanks
· Invoices entered – compared with tickets from delivery – accurate quantity, quality & price.
· Small tool ordering
· Helps run ads for field labor and equipment operators
· Supports website updates, pictures and testimonials
Essential Qualifications:
- Minimum Two (2) years’ experience in an administrative role with construction projects or coordinating in the construction industry is required
- Ability to read blueprints and interpret drawings
- Specific experience in detailed finish packages
- Construction software experience is required
- Peachtree Accounting software experience is preferred
- Experience in coordinating construction projects
- Demonstrated ability to effectively complete documents and ensure projects are ready for installs
- Complete work orders
- Excellent computer skills with Microsoft Office Suites Programs
- Verifiable success at forecasting material, equipment, and manpower needs
- Self-Motivated with the desire to function independently
- A passion for quality, timely work within budgeted guidelines
- Highschool Diploma or GED is Required
