Role Summary: The Par 3 Challenge and Team Operations Seasonal Associate will assist with team operations and hospitality for one of the Vrbo Fiesta Bowl teams. This role will also consist of planning and executing the Par 3 Challenge, practice facilities, and other Bowl week events. Also, the position will provide robust support across various events, ensuring seamless coordination and exceptional execution of all assigned tasks.
Key Responsibilities:

Assist with the planning and execution of the Par 3 Challenge, including vendor & volunteer management, layouts, gift distribution, and overall event logistics.

Assist in team operations and hospitality for the Vrbo Fiesta Bowl home team including the University’s administration, student-athletes, staff, and participating conferences.

Assist with logistics for team site visits and game week events for the participating institutions.

Work closely with vendors to coordinate event orders and onsite plans.

Coordinate product orders and delivery schedules for hospitality and events.

Provide support in the planning and execution of hotel accommodations, including hospitality suites, signage, décor, and the coordination of food, beverage, and audio/visual requirements.

Assist in the oversight of practice facilities including equipment rentals, additional request orders, and delivery schedules. Work with equipment staff for teams’ setup and breakdown of event infrastructure.

Communication and coordination with other staff, volunteers, sponsors, vendors, independent contractors and participants in the office, on-site at event spaces or stadiums.

Prepare materials for meetings, take minutes and notes, and compile a list of action items.

Assistance with management of event and hospitality committees to include Fiesta Bowl committee members, Ambassadors, and volunteers.

In addition to the responsibilities outlined, this role requires flexibility to adapt to evolving organizational needs, undertake task beyond those listed, and contribute to projects as they arise, ensuring the team’s objectives are achieved efficiently and effectively.
Qualifications:

Availability of additional hours during event periods, including nights, weekends, and holidays, is required.

An Associate's or Bachelor's degree in a related field (such as Sport Management, Marketing, Business Administration, or Communications), or currently pursuing such a degree.

Relevant experience in the sports industry and event management preferred.

Excellent written, verbal, and organizational skills.

Experience with Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, etc.

Ability to adapt, multi-task and work as a team under tight deadlines.

Ability to effectively perform the listed responsibilities and tasks with or without reasonable accommodations.
