Job Summary:
We seek a highly organized and detail-oriented Legal Assistant to join our team. As a Legal Assistant, you will provide administrative support to our corporate/estate planning group and assist in various legal tasks.
Responsibilities:
- Provide administrative support to a combination of several attorneys, which may include partners and associates.
- Manage calendars, including docketing deadlines; scheduling remote or in-person meetings, depositions and court hearings; booking meeting rooms; and sending invitations and reminders when needed.
- Ensure supporting materials for meetings and events are prepared accurately and provided in a timely manner.
- Accurately review, proofread, and assist with any materials, including documents, reports, memos, briefings, presentations, forms, and other items ensuring accuracy and completeness.
- Arrange couriers and deliveries ensuring time-sensitive material is received on time.
- Assist with time entries for tracking attorneys’ and paralegals’ billable hours.
- Preparation, transcription, and proofreading of corporate or estate planning legal documents.
- Format and construct various correspondence and other legal documents.
- Client Intake: sending conflict checks and engagement letters.
- Manage correspondence between attorneys and clients.
- Organize, file, and maintain physical and electronic files.
- Prepare and file documents (Federal and State).
- Collect client approvals and e-signatures using DocuSign.
Qualifications
- Legal administrative experience.
- Bachelor’s degree (preferred).
- Proficient with Adobe Acrobat and Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
- General knowledge of legal terminology, court rules, and procedure (preferred).
- Knowledge of state requirements and procedures.
