Contracts Administrator
Entry / jr level person eager to learn and work
Job Title: Contracts Administrator Reports To: Founder & Principal

General Position Summary:
This role is that of an out-sourced Contracts Administrator / Contracts Coordinator supporting multiple of TaktiKa's exciting, start-up biotech clients. If you are unfamiliar with the basic elements of most Contracts Administrator / Coordinator roles, please stop reading this and apply elsewhere. This role will bounce back and forth all day doing similar work for 2 to 3 client accounts. The work will be similar content-wise, but different with respect to system, process, or procedure. The role will develop their own relationship with main client contacts and high-volume contract requestors at the client and not be intimidated to do this. This role requires good business judgment, excellent organizational and effective communication skills. This role requires a person that is not afraid to learn and understand new technology, such as contracts databases and workflow systems. Candidate needs to be flexible, adaptable and pay attention to detail. Must be proficient on various software like MS Word, PowerPoint, Excel and MS Outlook.
Key Accountabilities/Core Job Responsibilities:
- Ensure that all contract records are accurate and up to date (system for updating could be an excel file or Conga Contracts or other CMS)
- Analyze and review fully executed contracts to identify key data points, ask questions when unsure
- Draft basic agreements such as Confidentiality Agreements off of client templates for new contract requests and handle external e-mail communication with clients and clients' vendors
- Delegate / escalate returned contracts internally or externally based off of a delegation chart or other instruction / procedure outlined to be followed
- Follow up on contracts matters and recording the follow up as a status in the client system / tracker
- Attend meetings to assess progress on projects which are in motion, and take detailed notes to share with stakeholders
- Route clients contracts for execution using DocuSign, AdobeSign or other e-signature tool in a CMS following client's signature authority matrix
- Prepare external e-mail correspondence to send contracts that are partially-executed by TaktiKa clients to outside parties for countersignature. Send follow-up e-mail correspondence when we have not received fully executed contract back from outside party.
- Organizes received data and source documents; identifies data to be entered.
- Complete data entry / close out activities by reviewing fully executed agreements and entering contract meta data into a spreadsheet or Conga Contracts system
- Proofs data entered against source documents; makes necessary corrections. Interfaces with appropriate TaktiKa team member to resolve questions, inconsistencies, or missing data.
- Enters data in alphabetic, numeric, or symbolic form into computer following established guidelines and procedures.
- Organizes and maintains file system; processes all documents for appropriate filing.
- Assists with special projects as assigned.
- Receives and reviews error reports on a regular basis; makes corrections as needed.
- Follows established guidelines or staff requirements to appropriately handle source documents; files, distributes, or returns source documents after data has been entered.
- Responds to TaktiKa team or clients inquiries regarding data entered or source documents.
- Conga Contracts experience preferred but not required
Experience:
- 1-5 years experience in an contracts administrator or coordintor role
Education Requirements (degree, certifications, etc.): Include must have and preferred
- Associate’s or Bachelor’s degree
* Paralegal certification a plus

There are no healthcare benefits for now but possibly in the future.
This is a 1099 contractor role if the candidate lives in any state except California. If the candidate lives in California, it will be a W2 role (but still no healthcare benefits included).
