We are seeking a highly organized and detail-oriented Facilities Office Coordinator to join our team and manage administrative operations, coordinate facility activities, and ensure smooth communication within our warehouse. This critical role supports the overall functionality and compliance of our facility.
Position Overview:
- Job Title: Facilities Office Coordinator
- Department: Administrative
- Status: Full Time, Non-Exempt
- Location: Clackamas, Oregon
- Schedule: Monday-Friday, flexible 8-hour day shifts.
Key Responsibilities:
Administrative Management:
- Manage incoming and outgoing correspondence (emails, faxes, mail, packages)
- File and organize records, invoices, and important documents
- Greet and assist customers and visitors
- Support staff with various administrative tasks (document creation, data entry, errands)
- Develop and maintain efficient office procedures
- Coordinate and schedule activities, meetings, and events
Human Resources Support:
- Assist with recruitment and onboarding of new employees
- Support HR functions (employee scheduling, timekeeping, payroll)
- Coordinate employee training programs and maintain training records
Financial Administration:
- File and upload finance-related communications and documents
- Assist in preparing and managing office expense budgets
- Review and approve office-related invoices and expenses
- Work with the accounting department for accurate financial reporting
Communication Management:
- Serve as the primary contact for internal and external communications
- Facilitate communication between warehouse staff, management, and other departments
- Respond promptly to inquiries and requests from employees and customers
- Ensure effective communication of company policies and procedures
Facilities Management:
- Oversee the maintenance and cleanliness of the office area
- Work with vendors, contractors, and property managers for repairs and maintenance
- Monitor and report facility-related issues for timely resolution
- Collaborate with warehouse management to enforce safety protocols
- Monitor security measures and report concerns to management
Regulatory Compliance:
- Stay updated on regulations and guidelines governing the food and cannabis industries
- Support company compliance initiatives
- Assist in maintaining accurate records for regulatory compliance
Requirements:
- At least 21 years of age
- Valid OLCC Cannabis Handler Permit
- Proof of full COVID-19 vaccination
- Associate’s degree in business administration or related field preferred
- 3 years’ experience in office management or administrative role, preferably in a warehouse or manufacturing environment
- Knowledge of food and/or cannabis industry regulations is highly desirable
- Strong organizational and multitasking skills
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite and relevant software applications
- Attention to detail and accuracy in record-keeping
- Ability to work independently and collaboratively in a fast-paced environment
Physical Demands:
- Ability to sit at a computer for up to 8 hours a day
- Endurance for extended periods of standing and walking
- Occasionally lifting, bending, and carrying up to 30 pounds
- Moderate noise levels and exposure to warehouse operations
