As a receptionist, you will be the first point of contact for the company and you will provide administrative support across the organization. You will handle the flow of the people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.
Responsibilities
· Serve visitor by greeting, welcoming, directing, and announcing them appropriately
· Answer, screen and forward any incoming phone calls while providing basic information when needed.
· Maintain security by following procedures and controlling access (logs).
· Update appointment calendars and schedule meetings/appointments.
· Perform other clerical receptionist duties such as filing, photocopying, collating, faxing, etc.
· Use of a company vehicle to run errands to other locations within and outside the metro area.
· Maintains other locations information (schedules, staff directories, emergency contacts, etc.) for the purpose of providing reference information.
· Maintains reception area materials (job applications, newsletters, event calendars, etc.) for the purpose of providing resource information to visitors.
Other duties to be performed
· Prepare and maintain a log for electronic equipment and vehicles;
· Prepare and maintain a log for supplies (paper, markers, laminator sheets, etc.);
· Support other departments as needed.
Protocols and procedures to do
· Answering telephone calls and taking messages
· Reception of visitors (supervising signing in and out)
· Receive and send e-mails.
