Ettie Lee Youth & Family Services is a non-profit, trauma informed agency that counsels children, youth and young adults and their families within the child welfare system and community to provide Resource Family Services, Short Term Residential Therapeutic Services, Community-Based Mental Health Services, Transitional Living Service and Wraparound Services to support the prosperity of individuals, families and communities.
OFFICE MANAGER JOB DUTIES:
- Responsible for accuracy and timeliness of accounting department functions.
- Insures that there are adequate financial control in place.
- Oversees posting to General Ledger.
- Closes books monthly.
- Prepares monthly and year to date financial statements and departmental summary or operations.
- Oversees bi-weekly payroll distributions.
- Oversees bi-weekly payroll.
- Oversees Workers Compensation and group insurance records
- Audits various expense reports.
- Provides information for Auditors as needed.
- Monitors accounts receivable and notes receivable.
- Oversees general office functions and insures all functions have coverage
- Prepares County cost reports and discrepancy appeals
- Assists VICE PRESIDENT OF FINANCE AND ADMINISTRATION with special reports and assignments.
- Train and evaluates new Accounting Assistants.
- Plan, organize and delegate responsibility, motivate and direct the functions of the Administration and Corporate office functions
- Provide adequate security for documents requiring protection and confidentiality.
- Makes recommendations for operating and capital budgets and insures budgets expenditures are within Agency guidelines.
- Participate in those activities which further the growth and development of the agency in meeting the needs of the people who provide its services to youths, families and other individuals.
- Works cooperatively, effectively and harmoniously with other personnel and/or services providers or professionals to promote agency goals and missions.
- In every aspect of the work done on behalf of Ettie Lee, demonstrate sensitivity to cultural and socioeconomic differences.
- Familiarity with software Sage Intacct (preferred)
- Perform other duties as assigned.
OFFICE MANAGER SUPERVISION AND DUTIES:
- Employ and retain culturally competent and quality staff to carry out the goals and objectives of the program.
- Provide professional leadership and appropriate role modeling.
- Assumes or assigns professional responsibility for work completed.
- Ensures that service delivery is performed according to the organization’s missions, policies and procedures, and service philosophy.
- Assume responsibility for professional development of staff.
- Assess the training needs of each staff member and develop an individual training plan.

III. REGULAR WORKING RELATIONSHIP:
- Receives supervision from the VICE PRESIDENT OF FINANCE AND ADMINISTRATION .
- Supervise and evaluate performance of Accounting Assistants.
- Provides day-to-day supervision of administrative office staff.
- Collaborates with other Agency Staff.
QUALIFICATIONS:
- Bachelors degree preferred in Accounting or related field. Bookkeeper through trial balance; minimum five years experience in accounting
- Minimum one year supervisory experience.
- Must possess a valid California driver’s license and have a driving record acceptable to Agency’s insurance carrier.

Pay: $72,000.00 - $79,000.00 per year
