Position Summary: ECMT is a dedicated and compassionate provider of homeless and re-entry services, committed to supporting individuals in their journey towards stability and self-sufficiency. Our Clerical Support Specialist is responsible for managing the reception area of Mariposa, including greeting, and assisting clients, scheduling appointments, answering phone calls, and maintaining client records. They are a dynamic and detail-oriented individual that plays a crucial role in enhancing our data management processes, providing administrative assistance and ensuring the reliability of data and its appropriate use at the program level.
Major Duties and Responsibilities (Essential Job Functions):
1. Provide administrative support by managing office tasks, answering phones, responding to emails, and maintaining filing systems.
2. Assist in the coordination and scheduling of appointments, meetings, and events.
3. Prepare and process documentation, including reports, correspondence, and other materials.
4. Support the development and maintenance of client records and case files.
5. Collaborate with internal teams to ensure accurate and timely data entry into relevant systems.
6. Maintain confidentiality and handle sensitive information with discretion.
7. Attend scheduled meetings and training sessions as required.
8. Check in clients/vendors when they arrive, assisting with their needs.
9. Provide courteous telephone coverage, assess caller’s needs, efficiently respond to inquiries.
10. Maintain the reception and lobby, kitchen areas in tidy and attractive manner.
11. Ensure Opening and Closing procedures are carried out when opening or closing the office.
12. Assist in childcare as needed.
13. Perform special projects or duties as assigned by supervisor.
Employee Specifications (Minimum Qualifications):
Experience/Training: Prior related experience in a clerical support setting demonstrating ability to work independently is required.
CPR certification upon hire.
Education/Knowledge: High school diploma or equivalent required; some college
Skills/Abilities: Excellent verbal and written communication skills required; demonstrated interpersonal skills also required.
Excellent people skills and ability to work with the public.
Ability to perform multiple tasks simultaneously in a fast-paced environment required with flexibility regarding tasks and work hours.
Demonstrate age-appropriate expectations and interventions, including effective execution of redirecting and other non-violent discipline methods.
Ability to work in a team environment, and effectively network with other agencies and individuals.
Ability to read, write and speak English required; bi-lingual skills highly desirable.
Intermediate Word and Excel skill level, highly desirable.
Special Requirements: Minimum 2 years sobriety if recovering alcoholic/drug addict.
Subject to background clearance including Live Scan

Salary Range: Generally starting at $22 - $24 per hour. The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.
