Summary: The Office Administrator is responsible for ensuring the smooth running of office operations
and providing administrative support to staff. Responsible for recording and maintaining the financial
transactions of the company. They ensure accurate books and records that are essential for operational
monitoring and compliance.
Duties and Responsibilities:
● Greet visitors and clients in a friendly and professional manner
● Answer incoming phone calls, take messages, and route calls appropriately
● Manage incoming and outgoing mail, packages, and couriers
● Maintain office equipment like printers, copiers, etc. by coordinating repairs and supplies
● Order and maintain inventory of office supplies
● Coordinate maintenance of office facilities like cleaning services, security systems, etc.
● Schedule meetings, reserve rooms, and make catering arrangements as needed
● Make travel arrangements like booking flights, hotels, rental cars for staff
● Maintain electronic filing system
● Handle general administrative duties like data entry, typing, copying, scanning, faxing
● Record day-to-day financial transactions like receipts, payments, purchases, sales, etc.
● Maintain and update general ledger, accounts payable, accounts receivable, and other
accounting records
● Perform bank reconciliations and monitor cash flow
● Process payroll including calculating withholding taxes and other deductions
● Handle accounts payable by verifying invoices and preparing checks for payment
● Manage accounts receivable by preparing invoices, recording payments, collection efforts
● Assist in preparation of financial statements like balance sheets and income statements
● Maintain organized filing system for all financial records
Requirements:
● High school diploma required, some college preferred
● Strong computer skills with expertise in MS Office Suite
● Detailed oriented
● Professional verbal and written communication abilities
● Outstanding organizational and multitasking capabilities
● Friendly, customer service-oriented demeanor
Job Type: Full-time
Pay: $20.00 - $28.00 per hour
Expected hours: 40 per week
