We are seeking a detail-oriented coordinator to facilitate the efficient operations of student enrollment and billing services in the Education Abroad office. The Operations Coordinator is responsible for all aspects of student enrollment services, from registration, billing, and course scheduling, to grades. This position works closely with the Office of Student Financial Services and Cashiering and Registrar’s Office, maintaining collegial and fluid lines of communication. The position primarily supports EA advisors and program managers through accurate and timely enrollment, vital to student participation. The Coordinator must understand, communicate and ensure adherence to all academic policies and regulations, specifically those governed by the Registrar’s office and the Office of Student Financial Services and Cashiering. The incumbent provides excellent customer service to stakeholders including students and staff/faculty across campus through clear communication and follow up regarding enrollment status,
Essential Duties and Responsibilities
Registration & Scheduling
- Facilitate the course registration and grade reporting processes for all study abroad students
- Support quality control measures to ensure accuracy with student and course records, including registration, billing, scheduling, grades, and transfer credit; troubleshoot and problem solve registration and scheduling issues, updating EA staff on the resolution of issues
- Communicate with students related to the activity on their record/account and assist students with resolving any blocks or issues
- Compile, edit, and confirm accurate course schedules for all study abroad programs
- Represent EA on University’s college/Registrar Committee (CORA)
Billing
- Facilitate the billing of study abroad billable costs to student accounts; Resolve student billing issues in coordination work with the Office of Student Financial Services and Cashiering
- Ensure that EA advisors, program managers and finance team members are advised of billing issues, changes in University policies or procedures that affect students or EA/OIA operations.
- Work with OIA finance team to ensure student fee revenue reconciles with billing practices
- Process ad-hoc billing as needed including but not limited to EA Fee billing, affiliate program billing, late-fee charges, as well as any necessary credits/corrections
- Enroll all study abroad students in international insurance and bill student accounts accordingly
Program Support
- Assist with updating MyEA program brochures and serve as the backup MyEA administrator
- Assist with updating MyEA application statuses and tracking program enrollment statistics
- Support with monitoring the main EA email inbox and responding/ referring as needed
- Assist with the scholarship notification process
- Occasional support with student visa materials preparation
- Analyze program and course enrollment data to prepare reports in support of curriculum mapping projects
- Provide data entry support for the Study Abroad Course Database
- Enter course evaluation data and maintain as it relates to both the Study Abroad Course Database (SACD) as well as information in MyEA
- Complete special tasks and other duties as assigned by supervisor or director
Job Type: Full-time
Pay: $55,000.00 - $62,000.00 per year
