The Receptionist reports to the Executive Administrative Assistant and is responsible for greeting visitors, fielding all incoming phone inquiries and performing clerical and administrative tasks as directed.
RESPONSIBILITIES:
- Answers phone calls and directs to appropriate departments / people. Takes messages and answers routine questions.
- Greets all guests and signs them into the building. Directs guests as needed.
- Performs clerical duties including word processing, Powerpoint, filing, and spreadsheets.
- Maintains building lobby and reception area in a neat, orderly manner and replenish brochures and forms displayed in lobby.
- Operates office machines including copiers, scanners, phone / voicemail systems, and other standard office equipment.
- Copies, sorts, and files records related to office activities, business transactions, and other matters.
- Prepares letters, memos, forms, and reports according to written or verbal direction.
- Sorts incoming mail by department or individual; processes outgoing mail.
- Maintains filing systems either manually or electronically.
- Manages organization and individual calendars and schedules appointments.
- Assists in planning and execution of staff events / meetings.
Performs other related duties as assigned.
