ABOUT THE ROLE:
We are looking for a highly detail-oriented, intelligent, bubbly, and organized individual who can think critically and execute tasks thoroughly. They also need to be self-sufficient and comfortable working independently, alone, overnight. If you are a highly social individual that needs constant collaboration and feedback, this is not the right fit as you will not have frequent interaction with the owners you report to. You must also be comfortable with direct, firm feedback and a high level of expectations for the quality of your work. If you get easily overwhelmed or anxious, this high-intensity, fast-paced job is not the one for you. We are looking for someone with excellent critical thinking capability. We want a driven, hard-working, highly intellectual and capable person. Moreover, a very sweet, positive, bubbly, and agreeable personality is also equally important.
MINIMUM REQUIREMENTS:
- 3 to 5 years of Executive Assistant OR Corporate-setting work experience.
- Desk job experience doing computer work.
- At least 1 to 2 years in an Administrative role reporting directly to upper management.
- Advanced in email communication.
- Advanced skills in Google Calendar, Sheets, Docs, Excel, and Word.
- Ability to learn and adapt to new softwares and applications.
- Proficient with Facebook and Instagram.
- Highly detail-oriented and organized.
- Strong critical thinking and task execution skills.
- Flexible and adaptable to the ongoing needs of the Executive and the business
- Must be an independent self-starter and a fast learner
- Excellent interpersonal skills, positive attitude, well-presented, professional
- Extremely strong written and spoken English skills. Strong enough that others cannot tell from the writing that they are not American.
- Ability to track task progress and initiate updates to the team and owners.
- Ability to multi-task and manage dozens of different tasks per day.
- Typing speed of at least 60 wpm or higher.
SCOPE OF WORK:
- Scrubbing Email Inbox
- Researching projects
- Working with AI
- Overseeing and executing any special projects as needed per owners
- Drafting disciplinary memos and tracking issuance
- Overseeing work output of team members and holding them accountable for work completion by deadlines
- Setting completion dates for projects and tasks
- Reviewing weekly calendar for owners
- Organizing weekly schedules
- Sending calendar invites for catch-ups and meetings
- Joining meetings, taking notes, and following up
- Scheduling evaluations and 1on1s
- Booking travel and hotels
- Monitoring maintenance tasks
- Responding to messages and overseeing guest complaints
- Managing processes and ensuring Office Manual accuracy
- Scheduling and moving calls/meetings
- Make calls and conduct reference checking
- Responding to franchising inquiries
- Scheduling personal appointments
- Sending gifts for birthdays, anniversaries, and condolences
- Coordinating home appliance repairs
- Booking personal activities and lessons
- Researching travel destinations, children’s activities, and hobbies
Working Hours : Mon-Fri 11:30 AM to 8:00 PM CST
Holidays : Flexible
Salary Range : USD $800 - $1,000 per month
Job Type: Full-time
Pay: $11,700.00 - $12,000.00 per year
Schedule:
- 8 hour shift
- Monday to Friday
