Roles and Responsibilities
- ·Vendor management – All AMC for building repair & maintenance. Local market purchase such as meals, furniture, pantry supplies and misc. items.
- Manage relationships with external service providers, such as cleaning services, security firms, and maintenance contractors.
- Partner with the Regional Sales Managers/business managers/customer account managers including the ability to locate and interpret Contracts or Long-Term Agreements as applicable
- Coordinate office space allocation and layout, ensuring a productive and comfortable work environment.
- Assisting, co ordinating, implementing and managing biometrics and CCTV’s.
- Develop and implement office policies and procedures, ensuring compliance with health and safety regulations.
- Develop and maintain an efficient record-keeping system for administrative documents and files.
- Supporting the sales team, market research, marketing tasks, regional tasks.
- Ensuring seamless payment processing for customer payments.
- Responsibilities delegated by the Project Engineer/Manager include handling invoices, coordinating vendor meetings, overseeing installations, and providing assistance to technicians during technical visits to ECOs.
- Marketing materials stock maintaining and updating
- Petty Cash management
Qualifications:
- Bachelor's degree in Business, or a related field.
- Proven experience as an Operations/ Administrative assistant or similar role.
- Excellent interpersonal and communication skills, with the ability to build rapport and establish trust.
- ·Vendor management.
- Strong problem-solving skills and a customer-centric mindset.
- Proficiency in CRM software and Microsoft Office Suite.
- Ability to work independently and collaboratively within a team.
- Willingness to travel.
- Strong organizational and time-management skills
- Excellent verbal and written communication skills; understand, speak, read, and write in English (Spanish) language.
- Strong negotiating skills.
