We are seeking a highly organized and detail-oriented Executive Assistant to support our CEO & executive team. The ideal candidate will be proactive, professional, and able to manage a wide range of administrative and executive support-related tasks.

Primary responsibility will be to perform administrative duties for the President/CEO of Modro & Company Builders, Inc. The overview of duties are listed below:

Responsibilities
- Manage President/CEO schedule and day-to-day activities- Provide high-level administrative support to executives
- Manage executive calendars, including scheduling meetings and appointments
- Coordinate travel arrangements and prepare travel itineraries
- Assist in preparing reports, presentations, and correspondence
- Conduct research and compile data as needed
- Manage confidential information with discretion
- Keep communication lines open from the President/CEO’s office to the office staff by passing on relevant information to keep the team moving forward
- Prepare, edit, and file (both hard copy and electronic copy) documents and email correspondence
- Identify and resolve any issues or conflict as best possible that may directly impact the company or CEO. Report and escalate to management as needed
- Running errands
- Company phone is to be accessible, and answered/email viewed nights and weekends for ESSENTIAL business items per President/CEO direction
- Function as the point of contact between executives and internal staff on behalf of the CEO
· Responsible for the first line of contact with customers and must provide quality customer service to the public
- Ability to emulate the CEO's business characteristics, servant leadership & team mentality, and carry them out as a direct extension of the CEO
Requirements
- Proven experience as an Executive Assistant or similar role
- Proficiency in Microsoft Office Suite (Outlook Calendar, Word, Excel, PowerPoint)
- Excellent communication and interpersonal abilities
- Ability to multitask and prioritize tasks effectively
- Strong clerical and organizational skills
- Ability to plan and see the “big picture”
- Competent in conflict and crisis management.
- Leadership and human resources management skills

- Strong writing skills and ability to communicate efficiently with a range of people from staff, labors, & subcontractors all the way to high-level clients and investors
- Experience with Google Suite, Adobe Cloud, Social Media platforms, and other software/apps technology is a major plus
- Solid technical background and proficiency with software, app-based technologies, and smart phones as all company project management is performed utilizing Buildertrend, MS Excel, MS Office, and other technologies. Previous Buildertrend experience is a plus
- Experience in event planning is a plus
- As an Executive Assistant, you will need to demonstrate solid organizational skills, including keen attention-to-detail and the ability to manage multiple tasks simultaneously
Working Conditions
The Executive Assistant works both in the Huntington Beach central office where the overall projects are being monitored and at the construction sites (if needed) which are scattered throughout Orange County and Los Angeles County. The
Executive Assistant makes the most of the advanced technologies, telecommunications, and internet access by being onsite and still being in constant communication with the office. They are usually on call 24 hours a day to assist the CEO as needed.
Physical Requirements
Capable of sitting, standing, stooping, bending, and twisting. Must be able to lift thirty pounds and have good eyesight and hearing.
A Non-Compete and Confidentiality Agreement are required for this position. Side work of any nature is not permitted and will be grounds for immediate dismissal as detailed in the Agreements.
Required license of certification: Driver’s License

As an Executive Assistant, you’ll be assisting the CEO in managing high-end luxury new home builds and improvements directly for our phenomenal client base and investors. You’ll be assisting the CEO and helping to manage new business relationships in the residential & commercial construction markets throughout Greater Los Angeles and Orange County. You’ll be creating an average weekly income of $904 to $1,788. A company profit sharing plan is also included. You’ll attend weekly company team meetings and consistent project management training meetings.
